Use Signatures to enhance control in critical operations

Introduction

Use signatures to re-authenticate users when they perform critical operations. Re-authentication allows you to have more control when critical tasks are carried out in your company and prevents data from being processed incorrectly.

Enable Signature and Select Secure Transactions

You can easily enable signature and select transactions, which need re-authentication. You have to have manager permissions to enable signatures and set up secure transactions.

  1. In Tell Me search for Signature Setup,
  2. Select Enable Singature and choose the Signature Method,
  3. Search for Transactions Setup in Tell Me,
  4. On the list of Secure Transactions, in the Require Signature column, select transactions that need re-authentication. Secure transactions that can require additional confirmation are:
    • Creating Work Orders
    • Changing Work Status
    • Posting Work Orders
    • Closing Work Orders
    • Submitting Forms

Now, when the signature functionality is enabled, the next step is to set up your signature.

Set up Signature

Set up the signature, that will be used for re-authentication. You can set up only your own password.

  1. On the Role Center, in the top right, select the cogwheel, and then My Settings,
  2. On My Settings page, select Change in the Signature section. If you haven't enabled signature before, you would not be able to set up your signature.
  3. You can enter your password, if you are setting up a password for the first time, you won't see the Old password field. The password has to be at least 8 characters long and contain at least one uppercase letter, one lowercase letter, one number, and one special character. It must not have a sequence of 3 or more ascending, descending, or repeating characters.

If you forgot your password, you should contact the manager with appropriate permissions, who can reset your password. To reset a password you have to:

  1. Search for Users in Tell Me,
  2. On the Users page select the user, whose password needs to be reset,
  3. In Tell Me search for Reset Signature and select it.

Note, that even the manager can't reset his own password, it has to be done by another person with sufficient permission.

Using the Signature Functionality

When you've completed setting up Signature, you're ready to use it. Let's take a Work Order and try to post it and close it (make sure that you checked the Posting and Closing Work Order on the Secure Transactions list).

  1. Search for Work Orders in Tell Me, and select Work Order list from the results.
  2. Select one of the Work Orders that should be posted.
  3. On the Work Order card select Post/Close,
  4. Select OK on the pop-up to confirm that you want to Post & Close,
  5. Enter your Password to confirm the operation and select OK. Your operation has been successfully signed and carried out.

The information about all signed operations is stored in the Signature Log.

Signature Log

Every transaction that was confirmed by the user via re-authentication is stored in Signature Log. It's an easy way to keep track of who performed a specific operation.

In Tell Me, look for Signature Log and select it. The list with all operations confirmed by the signature will open. On this list, you can find information about who confirmed the operation, with which method, and when the operation was confirmed.

For every line, you can also open the Where-Used page, where you can find information about transactions executed in the confirmed operation.
