Basic setup in D365BC for working with Assets and Work Orders in EAM-BC

Introduction

In order to get started and work with Assets and Work Orders in EAM-BC, some basic setup is required in Microsoft Dynamics 365 Business Central.

Here, you'll find an overview of different setup scenarios, depending on the requirements for maintenance management workflow in your company.

Prerequisites

Dynaway EAM for Business Central (EAM-BC) is installed in your standard Microsoft Dynamics 365 Business Central solution.

Asset Setup in D365BC

This article gives you an overview of the minimum setup requirements in D365BC for working with Assets in EAM-BC.

Scenario 1: Manage only Assets

Mandatory:

  • Number Series – required to automatically assign Asset No. when you create Assets.

Optional:

  • Locations – for creating Work Orders with Asset Items (spare parts)
  • Chart of Accounts – for consumption registration on Work Orders (resources, items, expenses)
  • General Business Posting Group – for consumption registration on Work Orders (resources, items, expenses)
  • General Posting Setup – for consumption registration on Work Orders (resources, items, expenses)
  • Retention Policy – for Maintenance Log setup (log entries can be removed after a specified period for database cleanup and performance improvement)

Scenario 2: Manage Assets with Items (Bill of Materials)

Mandatory:

Optional:

  • Item Variants – if required
  • Item Cross References – if required
  • Locations – for creating Work Orders with Asset Items and other spare parts
  • Item Tracking – for creating Work Orders with Asset Items and other spare parts (Lot tracking or Serial Number tracking)
  • Vendors – for posting setup such as Business Posting Groups (purchase and consume Items on Work Orders)

Work Order Setup in D365BC

This article gives you an overview of the minimum setup requirements in D365BC for working with Work Orders in EAM-BC.

Scenario 1: Manage Work Orders without Resources, Items, and Expenses

Mandatory:

  • Number Series – required to automatically assign Work Order Plan No. and Work Order No.

Scenario 2: Manage Work Orders with Resources

Mandatory:

  • Number Series – required to automatically assign Work Order Plan No. and Work Order No.
  • Resources – required to create Resources cards with the same base unit of measure as in EAM-BC Asset Management Setup (to track time in, for example, hours or days). Posting setup on resoures is required for posting resource consumption on Work Orders.
  • Work Types – required to define Work Types on Work Order resource lines.

Scenario 3: Manage Work Orders with Items (spare parts)

Mandatory:

  • Items (spare parts) – Minimum setup of items include Number Series for Items, Inventory Setup, Inventory Posting Setup, Inventory Posting Groups. If items should be planned and purchased using the Requisition Worksheet, fill out Planning Parameters on the Item card.
  • Units of Measure
  • Locations – for tracking availability of items (spare parts) on locations and consuming those items from the correct locations on Work Orders.
  • Opening Balance for Items – items should be on stock with the correct costs and stock count applied, to avoid creating negative inventory during posting.

  • Item Variants – if required
  • Item Cross References – if required
  • Item Tracking – for creating Work Orders with Asset Items and other spare parts (Lot tracking or Serial Number tracking)
  • Vendors – for posting setup such as Business Posting Groups (purchase and consume Items on Work Orders)
