Add to Work Order

Add a maintenance request to an existing work order, allowing related tasks to be managed under a single work order.

Introduction

As a Maintenance clerk, you may sometimes need to add maintenance requests to an existing work order rather than creating a new one. The Add to work order feature allows you to link a maintenance request to a work order in the appropriate lifecycle state, making it easier to avoid duplication and manage related tasks within a single work order.

Prerequisites

Before adding a request to a work order, make sure that:

  • The maintenance request does not already have a work order assigned.
  • The maintenance request has an active asset.
  • The maintenance request lifecycle state allows creating work orders.
  • The target work order is in a lifecycle state where adding lines is permitted.

Add Maintenance Request to Work Order

The Add to work order feature for maintenance requests works in a similar way as creating work order from a maintenance request. Here instead of creating a new work order, it adds a new line to an existing work order.

To add a maintenance request to a work order:

  1. Go to Asset management > Maintenance requests > All maintenance requests.
  2. Select the required maintenance request and from the top menu go to Maintenance request > Maintain, and click on Add to work order (see screenshot 01).
  3. In the Add to work order dialog (see screenshot 02), under the Work order section, select the Work order from the lookup. If you select a work order in a lifecycle state that does not allow adding new jobs, an error will be shown. The work order lookup provides two tabs (see screenshot 03):
    • Functional location work orders: Shows work orders with the same functional location as the maintenance request, or any higher-level functional locations in the hierarchy.
    • All work orders: Shows all applicable work orders across all functional locations.
  4. The Lifecycle state and Functional location fields are taken from the work order and auto-populated.
  5. Under the Asset section, specify/ select details such as Maintenance job type, Maintenance job type variant, and Trade.
  6. After selecting the work order and filling in the required fields, click OK.
  7. A new maintenance job will be added to the selected work order, which will be linked directly to the original maintenance request.
