Post Consumption Journals on Multiple Work Orders At a Time

Introduction

You can automate the process of posting work order journals in Advanced Enterprise asset management. Posting consumption on several work orders at a time can be done automatically as one-off postings, or you can schedule a batch job to initiate journal posting automatically at regular intervals.

You have completed setup of objects and work orders in Enterprise asset management.

Overview

This functionality allows you to post work order journals from several work orders in one sequence. You can post journals for specific work orders or all the work orders with consumption registration lines in the work order journal.

You can initiate one-off postings of several work orders to happen automatically, or you can set up a batch job for automatic posting on a specific date and time.

Automatic posting of work order journals includes available transaction types:

  • Hours
  • Items
  • Expense
  • Fee (only available if the Asset service management module is used with Enterprise asset management)

License Configuration

If you want to include fees in automated journal posting (used in the Asset service mangement module), specific setup regarding license configuration is required.

  1. Select System administration > Setup > License configuration.
  2. Ensure that the Dynaway Asset service management check box is selected.

Security Configuration

The following security roles are required for working with automated journal posting on work orders:

  1. EAM Maintenance Manager or EAM Maintenance Clerk (create, edit, delete jobs for automated posting).
  2. Batch job manager (get access to batch job queues and batch job logs to view notifications after posting).

Post Work Order Journals

You can work with automated journal posting in two ways, using the Post work order journals dialog:

  1. Set up multiple journal postings to run automatically for selected work orders or all work orders.
    • Use this function when you want to create one-off journal postings for multiple or all work orders at the same time.
  2. Set up a batch job for automatic journal posting at regular intervals.
    • Use this function when you want to set up a recurring journal posting schedule using intervals, meaning that work order journals will be posted automatically on regular intervals. This can be used for selected work orders or all work orders.

Post Work Order Journal Automatically for Multiple Work Orders

When posting work order journals automatically as one-off postings, you can select multiple work orders or all work orders and the types of registrations you want to post.

Follow the test case below to set up a one-off automatic journal posting by omitting step 4.

When initiating Post work order journals automatically, messages from the posting process are located in the Notification area / Show messages.

Optimize the Process of Batch Jobs for Automatic Journal Posting

When working with automated journal posting and setting up batch jobs to run regularly, here are some suggestions to optimize the work process:

  • If your company has many work order journal lines to be posted every day, set the time to run the batch job to be outside regular work hours - to ensure optimized performance of your ERP system during the work day.
  • If your company uses the Dynaway Mobile Client, and your workers submit consumption registrations on work orders on a daily basis, a batch job setup ensures posting of those registrations regularly, no matter where your Mobile Client users are located.
  • You can select specific work order stages on a batch job, meaning only work orders that are currently in those stages when the batch job is run are included in the batch job.
  • You can select specific work types on a batch job, and create different batch jobs for different work types.
  • Set up alerts on a batch job to receive notifications related to running the batch jobs.

When creating a batch job setup to Post work order journals automatically, messages from the posting process are located in the batch job log.

Create Automated Journal Posting

Data Requirements

  1. Your user setup includes one of the security roles: EAM Maintenance Manager or EAM Maintenance Clerk.
  2. Journal registration lines exist on more than one work order.

Steps 5

  1. Select Enterprise asset management > Periodic > Work orders > Post work order journals.

  2. In the Post work order journals dialog > Parameters section, activate the toggle buttons for the registration types you want to include in the journal posting.

  3. In the Records to include section, you can set up filters to define the criteria used as a basis for your job / batch job.

    For example, you can create filter lines including specific work orders, work order types, states, priorities, expected or scheduled start and end, and more. The more lines you add to the filter, the more specific the journal posting setup becomes.

    Note: If you don't select specific work orders, all work orders matching your setup, which have registration lines in the journal when the job is initiated, are included in the job.

  4. If you want to set up automated journal posting as a batch job, fill out fields in the Run in the background section, and set up Recurrence and Alerts for the batch job.

    Ignore this step if you want to create an automatic one-off journal posting.

  5. Select OK.

    Note: If all work orders are included in your posting setup, a message is shown, asking if you want to continue posting with that setup. This is done to ensure that your intention is to include all available work orders.

Expected

The user can set up automated journal posting for work orders.

Automated journal posting can be run as a one-off job, or you can set up the posting process as a batch job.

After journal posting is completed, notifications and messages about the journal posting job can be found in the Show messages section in the upper-right corner of the D365FO screen (for one-off automatic jobs), or in the batch job log (for automated batch jobs).
