Set up Tool Crib to get all the functionalities of the module

Introduction

Track and manage tools used in your company on maintenance jobs to get a full overview of how they are being used. With the Tool Crib module, you can register handouts of tools and register returns so you can see who is using which tools. Tools are essentially assets and function the same way in many cases. You can set up your tools as assets and create tool boxes with multiple tools within, track the condition of tools, track the costs spent on maintaining tools and more, just like you can do with Assets.

This article covers the setup needed to get started using the Tool Crib module and all its functionalities.

Users and Permission Sets

In D365BC, individual employees or a group of employees can be set up as users. Permission sets are added to each user. Permission sets define which data the user has access to and whether the user is allowed to read, edit, and delete data.

When you set up a user to work with the Tool Crib module, DAMTL Tool Handouts permission is required. This permission allows the creation of tool handouts and returns. A tool as a document is an asset from the database perspective, so the creation of the tool is a part of the maintenance manager permission set. This permission only allows for registering handouts and returns. Read more about users and permissions.

Set Up Number Series

You need to set up number series for Tool Handout/Return and relevant registered documents.

To do this:

  1. Go to Asset Management Setup. You can also access it by going to Settings > Assisted setup > Get started with Dynaway Tool Crib.
  2. Set up Tool Handout Nos., Tool Return Nos., Registered Tool Handout Nos., and Registered Tool Return Nos. All of these fields are visible in the Numbering tab.

The button Default No. Series on the toolbar also supports numbering for Tool Crib and you can use it to automatically set up number series prepared by Dynaway.

Categories

Set up Asset Categories for Tools. Tools are assets in the system, which means they are using the same data. Some data, like Asset Location, is the same for Tool and for Asset, but some is not. The Asset Category for the Tool is slightly different as other types of data are needed for a Tool such as maximum handout time.

When you're creating an Asset Category that will be used as a Tool Category, follow these steps:

  1. Go to a relevant Asset Category Card.
  2. Specify the Asset Type as Tool.
  3. You will see that Max. Handout Time (days) is editable now.
  4. You can add for how many days tools with this category can be handed out.
    • this value will be automatically applied to the tool when the category is chosen but if needed, it can be changed on the Tool Card anytime.
