Setup required for working with Forms

Introduction

Use Forms to control communication about maintenance to users before they start working and collect data from users when completing maintenance jobs.

Forms can be used on multiple objects such as Checklists and Permits to Work to inform a user about what needs to be done or considered when carrying out maintenance work. A manager can also create questions to a form to collect data from a user after completing maintenance work and set up triggering forms to questions that allows a user to specify further when filling out a form.

Forms Setup

In the Forms Setup you can define:

  • Form Template Nos. - number series used for form template. This value is mandatory and must be set up. Number series for Forms can also be set up from Settings > Assisted Setup.
    • If you want to, you can use the Default No. Series action, which creates and sets up a default number series for your Form Template Nos.
  • Preview Completed Forms - define if you want to open completed forms in preview mode.

Categories

Form Template Categories is a list where you can create categories for your forms. Depending on which extensions you installed, you are able to create categories based on the Type.

Available Types:

  • General - category with this type can be used on form templates from which form will be created for specific user.
  • Work Order Checklist* - category with this type can be used on form templates which will be added to Work Orders.
  • Asset Transfer Checklist* - category with this type can be used on form templates which will be added to Asset Transfers.
  • Asset Form* - category with this type can be used on form templates which will be added to Assets.
  • Permit to Work** - category with this type can be used on form templates which will be added to Permits to Work.
  • Inspection Checklist** - category with this type can be used on form templates which will be added to Inspections (Rounds marked as inspection).

Why are categories important?

Only form templates with proper categories can be added to the specific record. For example, if you want to add a checklist to the work order, you need to create a form template with the category marked with the Work Order Checklist type. You will not be able to add template with any other category.
