Create Work Orders from Maintenance Requests

Introduction

Attach a Maintenance Request to a Work Order Plan, or create a One-off Work Order directly from a Maintenance Request if a Work Order is required to quickly solve the problem described in the Maintenance Request.

Prerequisites

Open Maintenance Requests and released Work Order Plans exist. One-off Work Orders can be created.

Attach Maintenance Request to Work Order Plan

You can attach a Maintenance Request to a Work Order Plan, which is created for the same Asset. This is useful if the job described in the Maintenance Request aligns with the contents of the Work Order Plan.

In the Maintenance Requests List, select and open the Maintenance Request Card.

  • On the Maintenance Request Card, select Attach to Work Order Plan.
  • In the dialog that opens, fill out the fields as you require.
    • In the Work Order Plan No. field, you can select Work Order Plans created for the Asset selected in the Asset No. field.
  • Select Yes to attach the Maintenance Request to the selected Work Order Plan.
    • If an open Work Order exists on the Work Order Plan, you select to either add the Maintenance Request to the Work Order, or add a new Frequency line of type "one-off" to the Work Order Plan.
    • If an open Work Order does not exist on the Work Order Plan, a new Frequency line of type "one-off" is added to the Work Order Plan.

On the Maintenance Request, a new line is added in the Related Work Orders section with a link to the Work Order Plan.

Attach to Work Order Plan

Data Requirements

  1. At least one (open) Maintenance Request exists.
  2. Maintenance Request has Asset assigned to it.
  3. At least one (released) Work Order Plan for the chosen Asset exists.
  4. If there is Work Order on chosen Work Order Plan - there is no other Maintenance Request attached to this Work Order.
  5. There is no default value of the Work Order Category code.
  6. There is a default value of the Work Order Priority code.

Expected

The user can attach Maintenance Request to the existing Work Order Plan with three different results:

1. Maintenace Request is attached to the existing Work Order.

2. New frequency for Work Order Plan is created.

3. Maintenance Request is attached to the chosen Work Order Plan and the new Work Order is created.

Convert Maintenance Request to Work Order

You can create a one-off Work Order from a Maintenance Request. This is useful if the problem described in the Maintenance Request requires immediate attention.

In the Maintenance Requests List, select and open the Maintenance Request Card.

  • On the Maintenance Request Card, select Create Work Order.
  • The dialog Fill the form to create one-off work order opens.
  • Refer to the article Create a Follow-up Work Order for step-by-step procedures on how to fill out the form for creating a one-off Work Order from a Request.
  • The new Work Order is shown on the screen when you have created it, and you can start working on it right away.
