Setup required for working with the Scheduling Board

Introduction

The Scheduling Board allows you to easily schedule Work Order jobs to your maintenance employees and provides a graphic overview of available and booked capacity in your maintenance department.

A Maintenance Manager or Maintenance Planner can easily schedule and reschedule open Work Order jobs on the Scheduling Board. Scheduling is updated in real-time.

Scheduling Board Setup describes the setup tasks to be completed before you can work with the Scheduling Board.

Set up Access

The Scheduling Board is used by Maintenance Planners or Maintenance Managers to schedule Work Orders for Asset Technicians.

The Planners or Managers who are going to use the Scheduling Board module must be set up as Maintenance Employees. See how to set up Maintenance Employees / Users here. Each maintenance employee has an access to the scheduling board.

You can also decide if you want to define that a particular user can only read data on the scheduling board, so this user will not be able to edit anything on the board. To do this, you need to mark the Scheduling Board Read Only field on the Maintenance Employees list.

Users and Permission Sets

In D365BC, individual employees or a group of employees can be set up as a user. Permission sets are added to each user. Permission sets define which data the user has access to and whether the user is allow to read, edit, and delete data.

Refer to the User Management section for information about the users and permission sets required for Maintenance Employees in EAM-BC.

When you set up users to work with the Scheduling Board in EAM-BC, the following permission sets are required.

Permission Sets for EAM Scheduler

Users working as EAM Schedulers in the Scheduling Board module must be set up as Maintenance Employees in EAM-BC, and they require the following permission sets on their User Card:

EAM Schedulers have access to the Scheduling Board module and work with scheduling Work Orders to Asset Technicians or other employees.

Permission Sets to read-only

Users that need 'read only' permissions must be set up as Maintenance Employees in EAM-BC, and they require the following permission sets on their User Card:

These users have access to read data on the Scheduling Board, but can't change or edit anything directly on the board.

Setting Up Users

Each Maintenance Employee has an access to the scheduling board.

To set up users (read-only access), go to Maintenance Employees and configure the user.

  • Scheduling Board Read Only - Users have access to the board but can't edit what's on the board.

General Scheduling Board Setup

The Scheduling Board comes with a default setup of tooltips for Resources and Work Orders. Changes to this setup should only be done by System Administrators or other employees familiar with advanced setup in D365BC.

  • Search for and select "Scheduling Board Setup" to open the card.
  • If you make changes to the label and tooltip data shown on the Scheduling Board, you can always return to the default setup by selecting the Restore Defaults button. See more about how to set up labels and tooltips here.
  • In the toolbar you can also find:
    • In the section Set Up Colors: all actions that will take you to the proper table where you will be able to set up colors for the board. For example: select the Set Work Type Colors button if you want to edit Work Types Setup.
    • Users Filters action where you can check filter created by the users.

The Scheduling Board Setup card is divided in sections:

  • Resource Information: Hover over a resource on the left side of the Scheduling Board, or a block visualizing booked capacity in the calendar area, to see the related tooltip.
  • Expense Information: Hover over an expense on the left side of the Scheduling Board, or a block visualizing booked capacity in the calendar area, to see the related tooltip.
  • Unscheduled Work Information: Expand a date in the Unscheduled Work section on the right side of the screen on the Scheduling Board, then hover over a Work Order to see the related tooltip. This part of the setup can be configured for a Work Order with a resource line as well as a Work Order with no resource line.
  • Allocation Information: Hover over a scheduled Work Order in the calendar area on the Scheduling Board to see the related tooltip. If you want to view information about skills related to the Work Order, it can be set up in the Scheduling Board Setup. You can be notified if a resource is missing the required skill for a Work Order - see the documentation for Skill-based Planning on how to set it up.
  • Simulation Information: Hover over a Work Order Simulation in the calendar area on the Scheduling Board to see the related tooltip.

Here you can also turn on the Planning by Hours functionality. You'll be able to do this only when Advanced Planning is on in Asset Management Setup.

Set up the Date Range

When specifying the date range, you're defining the time period to be shown on the board. To specify this, go to:

  1. Asset Management Setup.
  2. Select Asset Management Setup from Go to Pages and Tasks list.
  3. Enter data in the Work Order Look Ahead field.
  4. You're changes are applied to the view of the Scheduling Board.

Set Up Work Types

A Work Type may include a color code, which is used to visually identify the Work Type of a Work Order when you work with Work Order scheduling on the Scheduling Board. 20 color codes are available for Work Types.

User Setup

The board has a default layout setup that can be customized by each user. From the board, select User Setup from the reload toolbar to open the User Setup. Note: more options can be shown by using personalization on the page.

On the User Setup, you can set up the following information:

  • General
  • Resources where you can turn on/off grouping resources on your board
  • Work Orders
  • Unscheduled Work
  • Colors

Note: some setup parts can be changed using actions from the Scheduling Board toolbar.

General

Here you can define:

  • Show Priority Color - shows the bookmark representing the priority on the block.
  • Show Original Planned Date - shows the line after selecting the block. Date represents the original planned date of the record.
  • Show Latest Finish Date - shows the line after selecting the block. Date represents the latest finish date of the record.
  • Highlight Scope from Original Planned Date - when you're moving a block, it's highlighting the date range from the original planned date.
  • Highlight Scope to Latest Finish Date - when you're moving a block, it's highlighting the date range to the latest finish planned date.
  • Default Filter - you can specify an existing filter as your default filter. This filter will be applied to the board every time you open the board.
    • To check filters - use the User Filters action from the toolbar.
    • To remove default filter - use the Remove Default Filter action from the toolbar.

Work Orders

Here you can define:

  • Highlight:
    • All: all blocks will have color.
    • Overdue Work Orders: only overdue work orders have color - it's useful to quickly check which blocks came from overdue work orders.
    • Work Order: when you select any work order block, this block and all blocks that came from the same work order will remain color.
  • Compress Work Orders - compresses work orders to only one line. This may be useful to fit more resources into the view.
  • Work Orders Arrangement - vertically/horizontally - may be useful to fit more resources into the view. Horizontally can't be used when Planning by Hours is off in Scheduling Board Setup.
  • Show Simulated Work Orders - shows work order simulations on the board. This may be useful if you want to take the incoming work into consideration when planning work for your resources.

Unscheduled Work

Here you can define:

  • Show Unscheduled Work - if you want to hide the right pane with unscheduled work.
  • Group by - you can change how the unscheduled work is grouped.

Colors

Here you can define:

  • Order Color by - the source of the color for the work order block.
  • Contractor Work - the color for contractors on the board.
