Use the Work Order Journal to create consumption registrations on multiple Work Orders

Introduction

Consumption registrations are posted on Work Orders and used to track costs on Assets. You can create and post consumption registrations on several Work Orders at a time in the Work Order Journal.

Prerequisites

Maintenance Jobs on Work Orders are completed and ready for Consumption Registration.

Work Order Journal Templates

Work Order Journal Templates are used for managing Work Order Journal Batches. One template may include several batches.

To create and view Work Order Journal Templates:

  1. Press Alt+Q on your keyboard to start a search.
  2. Enter 'work order journal temp' in the search field.
  3. Select Work Order Journal Templates. In the list, you see at lease one template, named 'Default'.
  4. Select New to create a new template.
  5. Enter a Name and a Description for the template.

In D365BC, you can set up reason codes as supplementary information to source codes. Refer to Microsoft documentation to learn more: Set Up Source Codes and Reason Codes for Audit Trails.

Work Order Journal Batches

Work Order Journal Batches are used for managing Work Order Journals. One journal batch may include several Work Order Journals.

Example 1: You create work order journal batches for Work Order Categories.

Example 2: You create work order journal batches for users or user groups.

To create and view Work Order Journal Batches:

  1. On your role center, select Work Orders > Work Order Journal.
  2. Select a Journal Batch in the Batch Name field at the top of the screen.
  3. In the Work Order Journal Batches list, select New.
  4. Enter a Name and a Description for the batch.

Post Consumption Registrations on the Work Order Journal

To post Consumption Registrations, you have the possibility to fill out the lines on the Work Order Journal page, or open the page in Excel to edit it.

To open and edit the page in Excel, go to Work Order Journal > share > Edit in Excel. The file will download and once you are finished working in Excel, you can publish the file into the Work Order Journal.

To post Consumption Registrations on the Work Order Journal page, follow the steps below.

  1. On your role center, select Work Orders > Work Order Journal.
  2. Select the Posting Date field on an empty line to create a new line, and select the date.
  3. In the Work Order No. field, enter the last part of the Work Order number, or select from the list of available Work Orders.
  4. Select the Work Order.
  5. In the Type field, select the consumption type you want to register (item / resource / expense).
  6. In the No. field, select the item / resource / expense.
    1. If you select a resource, and several registrations lines have been added on the Work Order for that resource, a pop-up window opens to allow you to select the line you want to use. Example: In the screenshots below, two registration lines have been added for resource "DC" on Work Order 000058. In the Work Order Journal, a pop-up window opens when you select resource "DC" for Work Order 000058. It allows you to select the line you want to use.
  7. For item registrations, select a Location Code.
  8. For resource registrations, select a Work Type Code.
  9. Enter the Quantity.
  10. Repeat steps 2-9 for each consumption registration you want to create.
  11. If you want to delete a registration line before you post the Work Order Journal, select the line, and select Manage > Delete.
  12. When all registrations are ready to be posted, select Process > Post to post consumption.
  13. The registration lines are deleted from the journal when they are posted.
  14. Next step is to close the Work Orders you have posted consumption for. Open each Work Order and select Post > Close. You can only create a new Work Order from a Work Order Plan if the previous Work Order created from the plan is closed.

You can also create and post consumption registrations on one Work Order at a time.
If you need to create negative consumption registration lines, use the Work Order Journal to create negative registrations regarding resources and expenses.
If you want to return an item to stock, you can create negative item registration lines on the Work Order Journal or on the Work Order Card.

When you have registered consumption registrations on Work Orders, you can view them in

  • Work Order Ledger Entries
  • Posted Work Orders
  • Assets lists and cards > History > Ledger Entries and Posted Work Orders
  • Work Orders lists and cards > History > Ledger Entries
