What Are Actions?

Actions are tasks, instructions, or steps assigned to a work order. They guide maintenance staff through the required activities, ensuring consistency and quality. Actions can include inspections, repairs, replacements, tests, documentation, and more.


Types of Actions

  • Maintenance Actions: Inspection, repair, replacement, lubrication, calibration, cleaning.
  • Support Actions: Setup, safety checks, documentation, area preparation, shutdown/startup.
  • Quality Actions: Testing, measurement, approval, compliance verification.
  • Custom Actions: User-defined steps tailored to specific assets, sites, or business needs.

How to Set Up Actions on a Work Order

  1. Open the Work Order or Work Order Plan.
  2. Go to the Actions section.
  3. Add a new action:
    • Enter action code and description.
    • Select action type and category.
    • Set sequence/order if multiple actions are required.
    • Add detailed instructions and completion criteria.
    • Assign required resources (personnel, tools, materials).
    • Set estimated duration and priority.
    • Define dependencies (actions that must be completed first).
  4. Save the work order.

Action Configuration Details

  • Action Code: Unique identifier for the action.
  • Description: Clear explanation of the task.
  • Type/Category: Maintenance, support, quality, or custom.
  • Sequence: Order of execution within the work order.
  • Instructions: Step-by-step guidance for execution.
  • Resources: Required personnel, skills, tools, equipment, and materials.
  • Duration: Estimated time for completion.
  • Priority: Importance level within the work order.
  • Dependencies: Prerequisites or sequence requirements.

Advanced Action Features

  • Templates: Use standard action templates for common tasks.
  • Customization: Tailor actions for specific assets, conditions, or sites.
  • Quality and Safety Integration: Add checkpoints, safety instructions, and compliance requirements.
  • Mobile Support: Access actions and instructions on mobile devices, capture progress, and update status in the field.
  • Reporting: Track action completion, resource usage, and quality outcomes.
  • Continuous Improvement: Analyze action performance, update procedures, and share best practices.
