You can automatically assign work order lines to a project for streamlined cost tracking and reporting. This ensures that all relevant costs are posted to the correct project and project line.
How to Set Up Automatic Project Allocation
- Ensure the project and project line are marked as maintenance (see above).
- In the work order setup or configuration, enable automatic project allocation if available.
- When adding item, resource, or expense lines to a work order:
- The system will automatically assign the project and project line based on predefined rules or defaults.
- You can review and adjust the allocation on each line if needed.
- Post the work order. All lines will be allocated to the selected project and project line, ensuring accurate cost tracking.
Details of Project Allocation
- Allocation can be based on:
- Work order type
- Asset or location
- Default project or project line settings
- You can manually override the automatic allocation on any work order line.
- Allocated costs are visible in project reports and help with budget control and analysis.
[!TIP] Use automatic project allocation to reduce manual entry and ensure consistent cost posting for maintenance activities.
- Create or open a maintenance work order.
- In the work order, select the relevant project code in the Project field.
- Add item, resource, and expense lines as needed, linking them to project tasks if required.
- Post the work order. All costs are allocated to the selected project and reflected in project reports.
- Use project and maintenance reports to review and analyze costs, resource usage, and budget impact.
[!IMPORTANT] To enable integration, both the project and the relevant project line must be marked as maintenance. Only maintenance-marked projects and lines can be linked to maintenance work orders and have costs posted correctly.
- When creating or editing a project, set the Maintenance field or flag to 'Yes'.
- For each project line that should receive maintenance costs, ensure the Maintenance field or flag is also set to 'Yes'.
- This ensures that maintenance work orders and related costs are properly associated and reported within the project module.
Integrating maintenance work orders with projects in Dynaway EAM provides complete visibility and control over maintenance costs, resources, and activities within your project management framework.
