Introduction

Maintenance items are inventory items that can be used in asset management and maintenance processes. This manual describes all available fields and Dynaway-specific functionalities added to the item card.

What Are Maintenance Items?

Maintenance items are flagged in the system to indicate their use in maintenance, asset management, and work orders. They support tracking, planning, and criticality management for spare parts and consumables.

Key Fields for Maintenance Items

  • Maintenance Item: Marks the item as available for maintenance and asset management. When enabled, maintenance features and tracking are activated for the item.
  • Used by Assets: Shows how many assets use this item. Calculated automatically; helps identify critical spare parts and commonly used consumables.
  • Qty. on Work Order: Number of units allocated to outstanding work order lines. Calculated as the sum of all open work order lines for the item. Drill-down opens a list of related work order lines for review and analysis.
  • Qty. on Work Order Plans: Number of units allocated to released work order plans. Calculated as the sum of all released work order plan lines for the item. Drill-down opens a list of related plan lines.
  • Qty. on Round Plans: Number of units allocated to released round order plans. Calculated as the sum of all released round plan lines for the item. Useful for planning rounds and preventive maintenance.
  • Create Asset On Consumption: If enabled, the system automatically creates a new asset record when the item is consumed in a maintenance order. Supports asset lifecycle management for items that become assets after use.
  • Asset Template Code: Asset template used to create assets from this item. Ensures consistency and standardization when generating new assets from inventory.
  • Critical: Marks the item as critical for maintenance. Used for reliability analysis, prioritization, and risk management.
  • Criticality Level: Specifies the criticality level of the item. Read-only; calculated based on detailed criticality records. Drill-down opens criticality details and allows updates if enabled.
  • Risk Assessment No.: Links the item to a risk assessment record. Supports compliance, safety, and audit requirements.
  • Created Asset Parent Specification: Defines which asset is used as the parent when creating a new asset from this item. Supports hierarchical asset structures and parent-child relationships.
  • Maintenance Tab (UI): All maintenance-related fields are grouped in a dedicated tab for easy access and management.

These fields work together to support robust maintenance planning, asset management, and compliance tracking for all inventory items used in Dynaway EAM.

Dynaway Functionalities on the Item Card

  • Maintenance Tab:
    • Displays all maintenance-related fields and controls.
  • Drill-Down Actions:
    • Qty. on Work Order, Work Order Plans, and Round Plans fields allow drill-down to see detailed lines.
  • Criticality Management:
    • Criticality Level field supports drill-down to view and update criticalities.
    • Archive Criticalities action allows archiving criticality records.
  • Document Management:
    • Item Documents factbox shows attached documents.
    • Actions to show, upload, and select documents for the maintenance item.
  • Create Maintenance Asset:
    • Action to create a related maintenance asset from the item, using the selected asset template.
  • Risk Assessment Integration:
    • Risk Assessment No. field links to risk assessment records for compliance and safety.

How to Set Up a Maintenance Item

  1. Open the item card in Business Central.
  2. Set Maintenance Item to true to enable maintenance features.
  3. Fill in asset template, risk assessment, and criticality fields as needed.
  4. Use document management actions to attach relevant files.
  5. Use drill-down actions to review work order allocations and criticality details.
  6. Use the Create Maintenance Asset action to generate a new asset from the item if required.

Standard Functionalities for Maintenance Items on Work Orders

Maintenance items in work orders benefit from several standard Business Central functionalities that support efficient planning, execution, and tracking:

Reservations

  • You can reserve inventory for maintenance items directly from the work order. This ensures that required items are available when the work is scheduled and prevents stockouts.
  • Reservation links the item to the work order and updates inventory availability.

Creation of Warehouse Pick

  • Work orders can trigger the creation of warehouse picks for maintenance items. This allows warehouse staff to prepare and stage items needed for maintenance activities.
  • The system generates pick documents based on the work order requirements, streamlining material handling.

Inventory Pick

  • Inventory picks can be created for maintenance items to facilitate the physical picking process from inventory locations.
  • This supports accurate inventory management and ensures that items are properly accounted for during maintenance.

Tracking Line Serial Numbers

  • For items with serial number tracking, work orders allow you to specify and track serial numbers on item lines.
  • This ensures traceability of parts used in maintenance, supports compliance, and enables detailed reporting on item usage.

These standard functionalities integrate with Dynaway EAM work orders to provide robust inventory control, material handling, and traceability for maintenance operations.
