Introduction
Consumption registrations are posted on Work Orders and used to track costs on assets. You can create and post consumption registrations on several Work Orders at a time using the Work Order Journal.
Work Order Journal Templates are used to manage Work Order Journal Batches. One template may include several batches.
To create and view Work Order Journal Templates:
- Press Alt+Q to start a search.
- Enter 'work order journal temp' in the search field.
- Select Work Order Journal Templates. At least one template, named 'Default', is available.
- Select New to create a new template.
- Enter a name and description for the template.

Work Order Journal Batches are used to manage Work Order Journals. One batch may include several journals.
Examples:
- Create batches for Work Order Categories.
- Create batches for users or user groups.
To create and view Work Order Journal Batches:
- On your role center, select Work Orders > Work Order Journal.
- Select a journal batch in the Batch Name field at the top of the screen.
- In the Work Order Journal Batches list, select New.
- Enter a name and description for the batch.
You can fill out lines on the Work Order Journal page or open the page in Excel to edit it.
To edit in Excel:
- Go to Work Order Journal > Share > Edit in Excel.
- Download the file, make changes, and publish back to the Work Order Journal.
To post consumption registrations on the Work Order Journal page:
- On your role center, select Work Orders > Work Order Journal.
- Select the Posting Date field on an empty line to create a new line, and select the date.
- In the Work Order No. field, enter the last part of the Work Order number, or select from the list.
- Select the Work Order.
- In the Type field, select the consumption type (item, resource, expense).

In the No. field, select the item, resource, or expense.

If you select a resource and multiple registration lines exist for that resource, a pop-up window lets you select the line to use.

For item registrations, select a Location Code.
- For resource registrations, select a Work Type Code.
- Enter the Quantity.
- Repeat steps 2-9 for each consumption registration.
- To delete a registration line before posting, select the line and choose Manage > Delete.
- When ready, select Process > Post to post consumption. Registration lines are deleted from the journal when posted.
Next Steps:
- Close the Work Orders you have posted consumption for. Open each Work Order and select Post > Close. You can only create a new Work Order from a plan if the previous Work Order is closed.
- You can also create and post consumption registrations on one Work Order at a time.
- To create negative consumption registration lines, use the Work Order Journal for resources and expenses.
- To return an item to stock, create negative item registration lines on the Work Order Journal or Work Order Card.
After posting, you can view consumption registrations in:
- Work Order Ledger Entries
- Posted Work Orders
- Assets lists and cards > History > Ledger Entries and Posted Work Orders
- Work Orders lists and cards > History > Ledger Entries
