Introduction
The purpose of Lockout/Tagout (LOTO) is to secure a safe work environment before executing work order to avoid injuries during maintenance tasks.
The LOTO process is supported within Asset management and mobile applications to help manage and enforce these safety measures.
From the Safe work mobile app, you can directly go to the LOTO page by using the left navigation button and tapping on Lockout tagout.
To create a LOTO, there are three ways to navigate to the Create LOTO page:
- Home screen: On the Safe work app, navigate to Lockout tagout and tap on Create Lockout Tagout (as seen in screenshot 01).
- From Lockout Tagout list page: From the Lockout tagout list page, tap on Create Lockout Tagout (as seen in screenshot 02).
- From the LOTO details Page: From the LOTO details page, tap on Create Lockout Tagout (as seen in screenshot 03). Note that when accessing the page from a LOTO details page, the Create Lockout Tagout form will automatically fill certain fields based on the existing details. If fields are prefilled, a warning will appear if you try to leave the page without saving.

- From the Safe work app, navigate to the Create LOTO screen.
- On the Create lockout tagout screen, enter the details required to exercise a LOTO. The form has four sections – Information, References, and Validity period (see screenshot 01).
- In the Information section, for the Description field, enter an appropriate description to describe the LOTO.
- In the Lifecycle section, set the lifecycle model by clicking on the Select lifecycle model dropdown (see screenshot 02). This is a mandatory field. Note that if only one lifecycle model is available, it will be prefilled and non-editable.
- In the References section, add the relevant references. You can add references for work orders, assets, functional locations, or permits (see screenshot 03). Note that if you access the Create LOTO screen from the LOTO details screen, then the details in the References section will auto-populate some of the details from the existing LOTO details.
- Work order: Click on the Work order field to select the reference work order.
- In the Work order screen (see screenshot 04), from the list of work orders, choose the work order associated with the LOTO. Note that you can select multiple work orders to which the LOTO can be applied.
- To view the selected work orders from the Work orders screen, click on the Show selected button (see screenshot 05).
- You can view all the selected work orders here. You can deselect a selected work order by clicking on the work order (see screenshot 06).
- To add and confirm the added work orders, click on the Apply button.
- Once you add a work order as a reference to a LOTO, you will be able to view the Work order card from the LOTO references section. If you click on the Work order card, you will be directed to the corresponding Work order page in Work execution app.
- Asset: In the Asset screen (see screenshot 07), select the asset that corresponds to the LOTO. Note that you can select multiple assets to which the LOTO can be applied. If you would like to select a set of assets within the selected functional location, then select the Asset tree (see screenshot 08).
- To view the selected assets from the Assets screen, click on the Show selected button.
- You can view all the selected assets here. You can deselect a selected asset by clicking on the asset card (see screenshot 09).
- To add and confirm the added assets, click on the Apply button.
- Once you add an asset as a reference to a LOTO, you will be able to view the Asset card from the LOTO references section. If you click on the Asset card, you will be directed to the corresponding Asset details page in Work execution app.
- Functional location: In the Functional location screen, select the functional location of the asset (see screenshot 10).
- You can select multiple asset functional locations. If a functional location has sub-locations (children), you can navigate to them by clicking on the small arrow to the right of the parent location's name.
- If you select a location that is a child of a parent location, and do not select the entire parent location, then the checkbox will display a '-' in place of a tick mark for the checkbox (see screenshot 11).
- To add and confirm the added functional locations, click on the Apply button.
- Permits: From the Permits screen, select the permits to add as a reference for the LOTO (see screenshot 12). Note that you can select multiple permits.
- To view the selected permits from the Permits screen, click on the Show selected button.
- You can view all the selected permits here (see screenshot 13). You can deselect a selected permit by clicking on the permit card.
- To add and confirm the added permit references, click on the Apply button.
- In the Validity period section, set a validity period that shows the time range for when the LOTO is valid from (see screenshot 14).
- Select a 'Valid from' and 'Valid to' date and click Apply.
- Enter the details and click on Save (see screenshot 15) to create the permit.

When you log in to the LOTO module of the Safe work application, the landing page displays is an overview page and displays a set of LOTO lists designed for quick and convenient access. These lists help you search, organize, and retrieve LOTO records efficiently from a centralized view.
The landing page has two categories of lists - Default lists and Created lists. To know more about these lists, view the section on Viewing LOTO Lists.
To create/manage LOTO lists, ensure that you have the necessary permission for the task in Dynaway mobile > Setup > Module configuration > Safe work > LOTO. To know about the related access setups for LOTO, view details in the section - User Permissions for Tasks in LOTO.

Creating a LOTO list
- Login to Safe work app and navigate to the Lockout Tagout page.
- To create a new LOTO list, on the Lockout Tagout page, click the Context menu button (three dots in the top right corner), and select Create list (see screenshot 01).
- Enter a name for the list and create a list using the filter options available for various properties like ID, Lockbox Number, Assignee, State, Functional Location, Valid From/To, Active, Approved, Removed, and Secured.
- Once created, the list will be created and all related LOTOs will appear in the newly created list. This list will now appear on the landing page of the Lockout Tagout screen (see screenshot 02).
Publishing LOTO lists
- Note that the list you are creating is only visible to you. You can publish LOTO list to other users or groups via D365, just like other saved lists. Saved lists in the LOTO module are labelled under the LOTO area. If you want your coworkers to have access to it, see the documentation Distribute Lists to Users.

By default, when you log in to Safe work app, you will be on the LOTO overview page, which will display the LOTO lists. There are two types of lists that are available here - Default lists and Created lists (see screenshot 01).
Default lists
There are two default lists that are automatically created and displayed on the LOTO landing page - Last visited and Favorites. Note that these lists are only visible when you have the required permission to create/manage LOTO.
- Last visited: The Last visited list will display the LOTO records that were last visited/opened by you.
- Note:
- A maximum of 50 last visited LOTOs will be saved in this list.
- The list is sorted by last visited.
- Filtering, sorting, and reports are disabled for this type of list.
- Favorites: The Favorites list will display the LOTO records that you have marked as favorites.
- Note:
- A maximum of 50 favorite LOTOs will be saved in this list.
- The list is sorted by last visited.
- Filtering, sorting, and reports are disabled for this type of list.
Created lists
In the Created list section, you can see the lists that are created by you. Here, you can create and save lists based on your own search parameters, enabling quick access to frequently used filters. To know more about creating lists, view the section on Creating and publishing LOTO lists.
The List View Page
When you click on any of the lists, you will be directed to a page that will display all the LOTOs that are a part of the selected list. You can view the listing of LOTO in either table view or card view.
- On small screen (mobile): By default, on small screens, the view of LOTO listing is card view.
- To toggle the listing view from card to table or vice versa, go to the LOTO listing page and use the card and list icons at the top of the listing (screenshot 02 shows the card view and table view toggle icons).
- When you select table view, you can choose the sort order of the LOTOs displayed. To do this, first switch to table view by using the toggle option.
- From the table view of the LOTO listing, click on the parameter next to the toggle buttons. By default, the sort order will be the LOTO ID. To change the sort order, click on this parameter (see screenshot 03).
- You will see a list of other parameters (see screenshot 04) based on which you can select the sort order of the LOTO listing. Select the desired sort parameter to see the listing in the selected sort order.
- On big screen (PC): By default, on big screens, the view of LOTO listing is table view.
- To toggle the listing view from card to table or vice versa, go to the LOTO listing page and use the card and list icons at the top of the listing (screenshot 05 shows the card view and table view toggle icons). See screenshot 06 for a sample screen of card view.
- In table view, you can choose the sort order of the LOTOs displayed. On a big screen, there are two ways to do this.
- Click on the sort parameter next to the toggle buttons (by default the sort order will be the LOTO ID) and change the sort order by clicking on the sort parameter (see screenshot 07).
- Click on the parameter in the header of the table view (see screenshot 08).
- Select the desired order to see the listing in the selected sort order.

- Login to Safe work application and navigate to the Lockout Tagout page.
- On the Lockout Tagout landing page (see screenshot 01), select the list which you would like to edit.
- You will be directed to the listing page with a complete list of LOTOs created that are a part of the selected list. Go to the Context menu (three dots in the top right corner) and select Edit list (see screenshot 02).
- Note:
- You cannot edit predefined lists.
- If you do not have the required permission to edit the LOTO list then, in the context menu you will be able to see the View list option (see screenshot 03) instead of the Edit list option. On click of View list, the application will display the same page as the Edit view page but with the editing options disabled (see screenshot 04).
- Make your changes and save the list to update the list.

A LOTO list can be updated or deleted only if the related settings in Dynaway mobile > Setup > Module configuration > General > Manage saved search lists is enabled and the list has not been setup from F&O, i.e. it is a system one. In other words, you cannot delete predefined lists.
To delete an existing list:
- Log in to the Safe work application, navigate to the Lockout Tagout page, and select the list to delete.
- You will be directed to the listing page with a complete list of LOTOs created that are a part of the selected list. Go to the Context menu (three dots in the top right corner) and select Delete list (see screenshot 01).
- If you do not have the required permissions in the module configurations to manage saved search lists, then you will not have the option to delete a list. Instead, there will be a View list option (see screenshot 02).
- The application will display a warning dialog for the user to confirm the deletion of the selected list (see screenshot 03). Select Yes to proceed with the deletion.
- The selected list will be deleted.

To search for an existing LOTO,
- Login to the Safe work app, go to LOTO.
- On the LOTO landing page you can search for a permit by entering keywords that match the ID or the Description fields (see screenshot 01). Enter the keywords and click on Search icon.
- You can see a list of LOTOs that match the search criteria.

For a LOTO that you create, you can define the Plan lines, LOTO Setup steps, and LOTO Removal steps.
In the Setup Steps tab, you can view the setup steps available for the selected plan line.
- To view the setup steps for a plan line, go to the Plan lines tab, select the plan line, and click the Setup steps tab. Here, you can see the checklist card of setup steps.
- After each step is completed, you can check (or uncheck) the completion of the step on the checklist card. Note that to modify a setup step, the LOTO must be in the 'Active' and 'Approved' state, but not 'Secured'.
- Once you check a step, you can enter the lockbox number for each step if applicable. This applies if a lockbox number was set during the creation of the LOTO (see screenshot 02).
- After checking off all the steps, the setup part of the plan line can no longer be edited. The application will prompt a warning message before confirming the submission. Click the Confirm and Save button to finalize (see screenshot 03).
- The application will then confirm the completion of the steps and disable further edits on this screen.
- Once the LOTO setup steps are complete, the worker or maintenance executive will finish the associated work order.

In the Removal Steps tab, you can view the checklist card of removal steps for the selected plan line of the LOTO.
- To view the LOTO removal steps for a plan line, go to the Plan Lines tab, select the plan line, and click the Removal Steps tab. Here, you can see the checklist card of removal steps.
- After completing the work order, you can mark the removal of the LOTO by checking the completion of each step on the checklist card. Note that to modify a removal step, the LOTO must be in the 'Active', 'Approved', and 'Secured' states, but not 'Removed' (see screenshot 01).
- Once you check a step, you must enter the lockbox number for each step (this applies if a lockbox number was set during the creation of the LOTO). After you have checked off all the removal steps, the checklist cannot be edited further.
- The application will display a warning message before confirming the submission. Click the Save and Continue button to confirm.
- The application will then confirm the completion of the LOTO removal steps and disable further edits on this screen.
- With this, the LOTO is removed.

The Safe work app allows you to create plan lines, define LOTO setup steps and LOTO removal steps. On successful creation of a LOTO, you can create a plan line for the LOTO.
To add, modify or remove a plan line:
- Open the Safework app and go to Lockout tagout.
- On the Lockout Tagout screen, search and identify the LOTO to view details. Note that you can create filtered lists for easy access to created LOTOs - For more details view the section on LOTO Lists.
- Scroll down to the Plan lines section.
- If there are plan lines existing for the LOTO, then these are displayed on the LOTO details page beneath the LOTO details as a series of expandable rows (see screenshot 01).
- If there are no plan lines on the LOTO (see screenshot 02) and you have possibility to modify the LOTO, you can add new plan lines by clicking on the Edit Plan Lines button (see screenshot 03).
- You can set and update the language in which the plan line steps are defined by clicking on the Edit button corresponding to the Language steps field. To know more about the setup and usage of this functionality, view the section Change Instructions Language for Setup and Removal Steps.
- Once a plan line is created, you can edit plan lines of a LOTO that is active but not yet approved. On the Loto plan line page (see screenshot 04), you can:
- Add new plan lines.
- Remove existing plan lines.
- Update existing plan lines (plan line type, type and assets cannot be modified on existing plan line). The application will display an error and disallow editing a plan line while saving the plan line if:
- Two plan lines share the same line number, plan line type or related entity structure.
- Two setup steps in a plan line share the same line number.
- Two removal steps in a plan line share the same line number.
- After performing the action, click on the Save button to save the details.
Note:
- The details you see in the Plan lines section is populated based on the asset selected during the creation of LOTO (screenshot 05).
- If more than one asset is selected during LOTO creation, there will be multiple plan lines for each selected asset (see screenshot 01).
- To view the the setup and removal steps defined for each plan line, select the plan line and navigate to the Setup steps or Removal steps tab as desired.

Setting up LOTO language
To add a language to the existing list of available languages in LOTO steps,
- Go to Asset management > Setup > LOTO > Step languages (see screenshot 01)
- On the Step languages screen add the language in which you would like to display the instructions and save the language. (see screenshot 02).
Adding contents for steps in different langauges
You can add the translations for the steps in the required language (based on the list of languages available in the language setup for LOTO).
Note:
- You can only add a language while the LOTO is not approved.
- You can add language translation either while creating LOTO steps or while editing LOTO steps.
To add a language translation for an instruction in setup or removal steps:
- On the Loto plan lines screen, add the plan line and enter the description for related setup and removal steps in the default language (see screenshot 03)
- To add the language translation, click on Save and change language (see screenshot 04).
- On the Select setup language screen, select the language and save the details by clicking on Apply (see screenshot 05).
- The LOTO plan line page will reload with the language updated. Click on Edit plan line.
- Go to the Setup steps or Removal steps section and add the corresponding text to be displayed in the selected language (see screenshot 06). If there is no corresponding text added, then the description will show blank content.
- Save the details.
Note:
- The report generated trom this page for a LOTO when the display language is changed will be in the updated language and not the default language.

To view details of a LOTO,
- Open the Safe work app and click on Lockout Tagout.
- On the Lockout Tagout screen, search and identify the LOTO to view details.
- Note:
- You can find this ID in the result list after performing a search using the keyword search functionality (see details on screenshot 01).
- You can also create filtered lists for easy access to created LOTOs - For more details view the section on LOTO Lists.
- Click on the LOTO card.
- You can now view the LOTO details page (screenshot 02) with the current state of the LOTO and other key details. You can copy the LOTO ID by clicking on the Clipboard icon next to the LOTO ID.
- To view the references corresponding to the LOTO, scroll to the References section and click on the small arrow corresponding to References(screenshot 03).
- On the References lockout tagout page (see screenshot 03) you can see a list of all references (Work orders, Assets, and Functional locations) that are related to the selected LOTO entity.
- Note:
- If there is a work order reference in the list of references, you can view the work order on Work execution app by clicking on the work order card.
- If there is an asset reference in the list of references, you can view the asset on Work execution app by clicking on the work order card.

To update the details of a LOTO,
- Open the Safe work app and click on Lockout Tagout.
- On the Lockout Tagout screen, search and identify the LOTO to update the details, and click on the LOTO card.
- To update the lifecycle state of LOTO, on the LOTO details page, click the Status button (screenshot 01) next to the LOTO number. Note that in order to update the lifecycle state, or to update the LOTO setup checklist status or to update the LOTO removal checklist status you must have the necessary user or user role permission for the action.
- You will be directed to the Select new state screen where you can select the stage of the LOTO. You can also additional information about the change of state in the Enter your remark textbox. Note that it is not mandatory to add a remark.
- After updating the lifecycle state, click the Apply button (screenshot 02) to see the updated lifecycle state.
To update any other property of the LOTO,
- Go to the LOTO details page of the LOTO to update.
- Click on the field of the LOTO detail. All editable fields are indicated by an Edit icon (pencil) corresponding to each field. Note that you need not click on the Edit icon to actually edit the field.
- Edit the information in the field and save the entry.

The References lockout tagout page displays work orders, assets, and functional locations associated with a LOTO entity. With the required permission, you can efficiently modify references before LOTO approval. That is, for you to edit references, the LOTO must be active but not approved.
To update a LOTO reference,
- Open the Safe work app and click on Lockout tagout.
- On the Lockout tagout screen, search and identify the LOTO to view details, and click on the LOTO card of the LOTO for which you would like to modify references (screenshot 01).
- Scroll down on the page to view the References section and click on the small arrow corresponding to References (see screenshot 02).
- On the References lockout tagout page (see screenshot 03) you can see a list of all references (Work orders, Assets, and Functional locations) that are related to the selected LOTO entity. To edit the references, click on Edit References (see screenshot 03). Note that this is only possible if the LOTO is active but not yet approved.
- On the Update references of Lockout tagout page (see screenshot 04) you can:
- Add new references of work orders, assets or functional locations.
- Remove one or more references of work orders, assets or functional locations.
- After adding/removing the references, click on the Save button to apply the changes and return to the References lockout tagout page (see screenshot 05).

The LOTO signatures feature allows you to digitally sign and manage approvals for a LOTO based on its lifecycle state. Signatures are enforced according to the configured LOTO lifecycle model, ensuring that required approvals are completed before the LOTO can progress to the next state.
- The LOTO must be linked to a LOTO lifecycle model with Signature enabled selected.
- You can verify this by going to Asset management > Setup > LOTO > LOTO Lifecycle models (see screenshot 01).
- Signatures must be configured for each lifecycle state to control where signatures can be added or edited.
- You can verify this by going to Asset management > Setup > LOTO > LOTO Lifecycle states (see screenshot 02).
- Signatures configuration for the user: Signatures must be added and assigned to users on the LOTO details page. Only users assigned as signees can sign the LOTO.
- To do this, go to the LOTO details page of the selected LOTO and scroll down to the Required signatures FastTab (see screenshot 03).
- Add the signee (user or user role) for all relevant LOTO lifecycle states.

To use signatures in LOTO:
- Go to Asset management > LOTO > All LOTOs and open the required LOTO.
- Ensure that while creating the LOTO, the lifecycle model selected is a model with signature enabled. If signatures are not configured for the selected LOTO, signature-related options are not available.
- Ensure that the required signatures setup is complete for the selected LOTO in F&O.
- In the LOTO details page, to directly go to the Signatures page of the LOTO, click on the Overview signatures button (see screenshot 01) at the top-right corner of the LOTO details page. Note that if no signatures are configured, the Overview signatures button is not displayed.
- Alternatively, on the LOTO details page, scroll down to the Signatures tab (see screenshot 02) at the bottom of the LOTO details page. Note that if no signatures are configured, the Signatures tab does not appear on the LOTO details page. On the Signatures tab, you can see the signature status displayed.
- Signature needed indicates that one or more signatures are pending from you.
- Nothing to sign by you indicates that no action is required from you.
- Already signed by you indicates that you have completed your signature and signatures from other users are still required.
- To review the Signatures page, click on the Signatures tab. Here the page displays two sections (see screenshot 03):
- To Sign, which shows signatures relevant to the current lifecycle state and available for you to sign.
- All, which shows all signatures configured for the LOTO.
- On this page you can see a list of all signatures (required and completed).
- These are grouped by Target state (target lifecycle state) and displayed in the order defined in the LOTO lifecycle model (see screenshot 03).
- Within each group, your signature, if applicable will be listed first.
- Identify signatures that you can sign. Note that a pen icon (see screenshot 04) is displayed for signatures that are assigned to you and selectable.
- On clicking the pen icon, the application displays a confirmation box (see screenshot 05) to warn you that once signed, the lifecycle state of the LOTO may possibly be updated. Click on Yes to confirm the action and proceed with the signature.
- Note that if the signature is the last required signature in the group, the confirmation dialog informs you that the LOTO lifecycle state may change after signing.
- On clicking Yes, the signature will be updated and the application will reload the LOTO details page (see screenshot 06). You can review the result in the Signatures page of the LOTO.
- The signatures signed by you will be shown with a green tick icon corresponding to your name, indicating that the signature is completed.
- Click on Back to return to the LOTO details page.

The LOTO list Analysis functionality provides a visual and statistical overview of LOTO records. It helps you analyze LOTO data using charts and tables and allows you to generate a downloadable PDF report based on configurable options.
You can open the Analysis page of LOTO list using a direct link or from within a LOTO list page.
Ensure that you have user access to LOTO and Analysis page of LOTO list.
- Enable LOTO access within the Safe work app: To grant LOTO access, navigate to Dynaway mobile > Setup > Module configuration, select Safe work > LOTO > Enabled, add the user or user group, and set the parameter value to 'true'.
- Enable list analysis access: To grant access to generating list analysis for LOTO, navigate to Dynaway mobile > Setup > Module configuration, select General > Reports > List analysis, add the user or user group, and set the parameter value to 'true'
To view the LOTO list Analysis page:
- Log in to Mobile Client and go to Lockout tagout.
- On the Lockout tagout overview page, you can see all the lists that are available for your login. Select the list for which you would like to generate the analysis report. Note that you can only generate Analysis reports for custom lists.
- On the LOTOs listing page click on the Context menu (three dots at the top right of the page), and select Analysis (see screenshot 01).
- The app will display the Lockout tagout list analysis page. To customize the analysis report as per your business needs, click on Options report (see screenshot 02).
- Use the Options report to customize the report as required (see screenshot 03). The following report customizations are available:
- PDF customization options
- Show preview: Displays a preview of how the PDF will be printed. Note that small devices may not be able to display the full preview.
- Orientation: Choose the PDF orientation (portrait or landscape).
- Paper size: Select from A3, A4, A5, or US letter when generating the PDF.
- Report content customization - Users can toggle the inclusion of specific report elements:
- Company: Enable to include company details.
- Address: Enable to include company address.
- Image: Enable to include company logo.
- Lockout tagout list customization
- List: Enable to include list information in the report.
- Results: Enable to include the number of elements found.
- Name: Enable to include the name of the list.
- Filters: Enable to include the filters used in the search.
- Show no results: Enable to show no results in the report.
- LOTO list analysis view customization
- Assignees: Enable to display information about assignee in the report.
- Chart: Enable to display the related pie chart in the report.
- Table: Enable to display the related table in the report.
- States: Enable to display information about stages in the report.
- Chart: Enable to display the related pie chart in the report.
- Table: Enable to display the related table in the report.
- Functional locations: Enable to display information about functional locations in the report.
- Chart: Enable to display the related pie chart in the report.
- Table: Enable to display the related table in the report.
- After customizing the report, click Download PDF (see screenshot 02).
- The report will be downloaded to the device's default location.
