Use Checklists on Rounds for safety inspection of several Assets in one go

Introduction

In EAM-BC, you can create Round Plans and Round Orders for regular inspections of two or more Assets at a time.

In Safe Work, you can also work with Checklists on Round Plans and Round Orders, as part of your safety inspections.

Overview

In EAM-BC you can work with Rounds to plan and carry out the same job on multiple Assets in one Round Order. In the Safe Work module, we have extended this functionality to allow you to add Checklists to your Inspection Rounds.

Work Order Checklists are available in EAM-BC where you can add "Before Work" and "After Work" Checklists to a Work Order Plan and a related Work Order. The same approach is used for Inspection Rounds. We use functionality from Rounds to create and mange Round Plans and related Round Orders, and we use functionaliy from Work Order Checklists to create and manage Checklists on Round Orders used for inspection.

A Checklist contains a list of tasks (lines) to be completed in sequential order before, during, or after the inspection job described in the Round Order. You can add three checklists to a Round Order:

  • Before Round - this checklist contains tasks to be done before you start working on the inspection job on each Asset included in the Round Order.
  • After Round - this checklist contains tasks to be done after you have completed the inspection job on each Asset included in the Round Order.
  • Each Round Step - this checklist contains tasks to be done on each Asset as part of the inspection job described in the Round Order.

Working with Inspection Rounds and Checklists includes

  1. Set Up Work Order Categories for Inspection Rounds
  2. Create Form Template Categories of type "Inspection Checklist" (to be used on Checklists)
  3. Create and release one or more Checklists (using Form Templates)
  4. Create a Round Plan and assign one or more Checklists to the Round Plan
  5. Release and calculate the Round Plan
  6. Work on the Round Order created from the plan
    1. Fill out one or more Checklists on the Round Order created from the Round Plan
    2. A Checklist may trigger another Checklist to open, depending on your Checklist setup. Example: A Checklist line may have an option for a 'Yes' or 'No' answer. If 'No' is selected, that triggers a new Checklist in which one or more lines must be filled out.
    3. When work is completed on the Round Order, create consumption registrations.
  7. Inspect Answers on the completed Checklist
  8. Post and close the Round Order

Set Up Work Order Categories

In order to add Checklists to a Round Plan, which are transferred to the related Round Order, a specific setup on the Work Order Category used on the Round Plan is required.

Set Up Checklist Categories

When you create a Checklist for an Inspection Round, you select a Category Code on the Checklist. A Checklist Category has a Type. The Type selected on a Checklist Category used for Inspection Round Checklists must be "Inspection Checklist".

Set Up Default Checklist Categories

When planning Work Orders that use checklists, the same Work Checklist is often used on many Work Orders & Work Order Plans. To make that easier for Maintenance Planners, it is possible to specify default Checklists at the Work Order Category level. It is possible to assign Checklists for the Work Order Category for both non-inspection categories and inspection categories. These Checklists are reused on Work Orders as well as Work Order Plans.

  • Specifying Default Checklists. When working with plain Checklists, the user can specify a Default Checklist that the user will be required to fill in before the Work Order can begin - and before the Work Order can complete. The Checklist fields will be populated automatically when choosing the Work Order Category on the Work Order Plan.
  • Specifying Default Inspsection Checklists. Work Orders can be used for inspections ("Inspect engine every two months"). When using Work Orders with Inspection Checklists (Work Order Rounds), the user can specify Inspection Checklists to use before a Work Order Round, after a Work Order Round, as well as checklists to use for each Round step. The Checklist fields will be populated automatically when choosing the Work Order Category on the Round Order Plan, but only if the Work Order Category is inspection.

Create and Release a Checklist

Checklists are created in the Dynaway Forms module. The way you create and release a Checklist for a Round Order is similar to when you create and release it for a Work Order. The only difference is that for a Round Order Checklist, you select a Category Code created for Inspection Checklists.

Refer to the article Create and Release a Checklist, describing these steps for Work Order Checklists. Note that in step 5 in the related test case, you must select a Category Code of type "Inspection Checklist".

Create a Round Plan

When you have created the Checklists you want to use for an Inspection Round, next step is to create the Round Plan that the Inspection Round Order will be created from.

Assign Checklists to a Round Plan

When you create a Round Plan and select a Category Code on the Round Plan, which is set up to be used for inspection (described in the article Set Up Work Order Categories above), an Inspection section is added on the General FastTab on the Round Plan. In that section, add one or more Checklists, as you require, to be done

  • Before Round
  • After Round
  • Each Round Step

Release and Calculate a Round Plan

When you have created a Round Plan, including added Checklists required for the Inspection Round, next steps include

  1. Release the Round Plan - to make the plan ready for calculation
  2. Calculate the Round Plan - to create a Round Order from the plan

Work on a Round Order

When you have created a Round Order with Checkslists from a Round Plan, next step is for the Technician to complete the work on the Inspection Round Order, which includes the following tasks:

  1. Refer to the article Work on a Round Order and complete steps 1-2 in the related test case.
  2. Fill out the Before Round Checklist.
    1. Refer to the article Fill Out a Checklist, which describes how to work with Checklists on a Work Order. The way you work with Checklists on Round Orders and Work Orders is similar, only the names of the Checklists differ. Refer to the table below for an overview of the Checklists available on Round Orders and Work Orders.
  3. Refer to the article Work on a Round Order and complete steps 3-6 in the related test case.
    1. If an Each Round Step Checklist is included in the Round Order, complete the Checklists lines for all Assets included in the Round Order. Refer to step 2.a.
  4. Fill out the After Round Checklist. Refer to step 2.a.
  5. Refer to the article Work on a Round Order and complete step 7 in the related test case.
  6. When inspection work is completed on the Round Order, you can Create Consumption Registrations for resources and items, but not for expenses.

Inspect a Checklist

Post and Close a Round Order

When all work is completed on a Round Order and consumption registrations have been added, next step is to Post and Close the Round Order.

When you have posted and closed a Round Order, you can get an overview of Posted Round Orders.

Also, you can create an Assets on Posted Round Orders Report to get an overview of Assets with status 'Done' or 'Skipped' on completed Round Orders.
