Introduction
Create tagouts to make sure that any locations, equipment, or machines can't be operated when carrying out maintenance on these locations or objects. Tagouts are placed on locations or objects to inform workers that they must not be accessed or operated within a time period, or until the tagout is removed.
There are a few steps you need to take to get started with using the Tagout functionality.
- First, you need to import a 'Dynaway Safe Work' license.
- Second, you need to enable the 'Dynaway Safe Work' and the 'Tagout' configuration keys to use the functionality.
- Set up the security roles for relevant users: 'EAM Tagout manager' and 'EAM Tagout user', and 'EAM Maintenance manager' and 'EAM Maintenance worker'.
- An EAM Tagout manager and EAM Maintenance manager can view, modify, and configure tagouts.
- An EAM Tagout user and EAM Maintenance worker can only view tagouts.
Manage tagouts by going to Enterprise asset management > Safe work > Tagout > All tagouts.
Here you will see the 'All tagouts' form, which can be seen in screenshot 01 below.
From the All tagouts form, you can:
- Create tagout: This button allows you to create a tagout:
- The full name of the worker who created the tagout is set in the 'Created by' field. If the worker can't be set, an error is thrown, preventing the creation of a new tagout. To fix this error, go to 'System administration > Users > Users', find your user, and set a value in the 'Person' field.
- Approve tagout: This button allows you to approve a tagout.
- The tagout must be within a valid time range.
- The tagout must have at least one non-work order 'Tagout includes' record.
After approval:
- The tagout status changes to 'Awaiting tagout'.
- The full name of the worker who approved the tagout is set in the 'Approved by' field. If the worker can't be set, an error is thrown, preventing approval.
- Columns such as 'Tagged out' and 'Current tagouts' are shown in the 'Tagout includes' grid.
- Change assigned worker: This feature allows you to change the 'Assigned to' field (i.e., the assigned worker), except when the tagout is in the 'Finished' lifecycle status.
- View tagout event history: This button displays a grid with information about changes to the tagout record, such as changes in the assignee, tagout status, and who approved it.
- View tagout status: Indicates the current status of the tagout record. A tagout can go through the following lifecycle statuses:
- Requested: Initial status for a created tagout:
- Editing of the 'Tagout includes' grid, 'Description', 'Valid from', 'Valid to', and 'Assigned to' fields is allowed.
- Tagouts can only be removed in this status.
- Awaiting Tagout: The status is set once a tagout is approved with the Approve tagout button:
- The state of non-work order 'Tagged out' cells can be toggled only in this status and when the form is in edit mode.
- If the 'Assigned to' field is empty and a 'Tagout includes' record is 'tagged out', this field is automatically filled with the worker's full name.
- Only the worker specified in the 'Assigned to' field can perform the 'tagged out' operation.
- A 'tagged out' operation can be performed when the 'Valid from' date and time of the tagout equals the current date and time.
- When a 'Tagout includes' record is 'tagged out', the current timestamp is set in the 'Tagged out' field, and the 'Tagged out by' field is filled with the worker's name. If the worker cannot be set, an error is thrown, preventing the action.
- A confirmation dialog appears once the last 'Tagout includes' record is 'tagged out'.
- Tagout Active: The status is automatically set when all non-work order 'Tagout includes' records are 'tagged out' successfully:
- A related work order can have a value set in the 'Actual start' field (work can begin).
- Pending Tagout Removal: The status is set automatically once all 'Tagout includes' records are 'tagged out' and related work orders (if any) have 'Actual end' set:
- The 'Tagout removed' column becomes visible in the 'Tagout includes' grid.
- If the 'Assigned to' field is empty and a 'Tagout includes' record is 'tagout removed', this field is automatically filled with the worker's full name.
- Only the worker specified in the 'Assigned to' field can perform the 'tagout removed' operation.
- When a 'Tagout includes' record is 'tagout removed', the current timestamp is set in the 'Removed' field, and the 'Tagout removed by' field is filled with the worker's name. If the worker can't be set, an error is thrown, preventing the action.
- A confirmation dialog appears once the last 'Tagout includes' record is 'tagout removed'.
- Finished: The status is set once all 'Tagout includes' records are 'tagout removed' successfully and the worker is set in the 'Assigned to' field.
01: The 'All tagouts' form.
To view a tagout, click on a tagout from the All tagouts form. If you want to see only Active tagouts or Requested tagouts, you can select the 'Active tagouts' form or the 'Requested tagouts' form instead. See screenshot 02 below for an example of a tagout.
In the Tagout includes tab, you can see the following information:
- Type: A tagout can be defined for an 'Object', 'Functional location', or 'Work order' records.
- Identifier: When a valid ID is set in a cell, it automatically retrieves information related to that ID and fills out the other empty cells in the row with the retrieved information:
- When one of the Types are set:
- Work order: The lookup only shows records that are 'Active' and have no 'Actual start' set. Once a valid 'Work order' ID is set:
- The empty 'Description' field is filled out.
- The tagout’s 'Valid from' and 'Valid to' values are overwritten to match the work order’s date range.
- Non-work order 'Tagout includes' records are created if they do not already exist, based on all the work order's related functional locations and objects.
- Object: The lookup only shows records that are 'Active'.
- Functional location: The lookup only shows records that are 'Active'.
- If an ID is already covered by other tagouts, info logs will display which tagouts cover it.
- Current tagouts: A number representing how many times a given identifier is currently 'tagged out' across all the active tagout records.
- Tagged out: Indicates whether the 'Tagout includes' record has been tagged out or not.
- Tagout removed: Indicates whether the 'Tagout includes' record has had a tagout removed or not.
02: Example of a tagout.
Create and use tagouts by following the steps below which guide you through the tagout process.
- Create a new work order with at least one work order line.
- Go to Enterprise asset management > Safe work > Tagout > All tagouts.
- Click the Create tagout button and create a new tagout.
- After pressing the OK button, the 'All tagouts' detail form is opened with the new tagout.
- Add a new 'Tagout includes' record of the 'Work order' type by using the ID of the newly created work order.
- Select Approve tagout.
- Note that after the approval, the tagout-related work order can no longer be started.
- Check the 'Tagged out' checkboxes on all non-work order 'Tagout includes' records.
- Start and afterwards complete the work order, i.e., first set the 'Actual start' and afterwards the 'Actual end' timestamps on the work order.
- Lastly, check the 'Tagout removed' checkboxes on all non-work order 'Tagout includes' records.
Note:
- A work order that is covered by a tagout can only be deleted when a tagout has the 'Requested' status.
- When deleting a work order that is the only one of this type listed in the 'Tagout includes' grid, it also removes the tagout itself.
