Safe Work Setups

Set Up Access

This article describes how to set up users for the Dynaway Safe Work. The Safe Work app includes the following modules:

  • Lockout
  • Tagout
  • Work Permits
  • Risk Assessment
  • Checklists
  • Safety Incidents

A user license purchased for Dynaway Safe Work gives the user access to all six modules. You can choose to use one or more modules in the Safe Work app, depending on your maintenance department's requirements.


User Setup and Maintenance Employees

Before users can start working in Safe Work, they must be set up as Maintenance Employees. To do this:

  1. Go to Maintenance Employees from the search bar in D365BC.
  2. Set up the relevant users as maintenance employees.
  3. Assign the appropriate permission sets to each user on their user card.

Note: To set up a Lockout Manager or a Tagout Manager, tick the checkboxes on the Maintenance Employees list called Lockout Manager and Tagout Manager. Permission sets alone do not grant access to these roles.

Note: Technicians who will work with Checklists on Work Orders must also be set up as Maintenance Employees in EAM-BC.

Users and Permission Sets

In D365BC, individual employees or groups can be set up as users. Permission sets are added to each user to define which data they can access and whether they can read, edit, or delete data.

When setting up a user to work with the modules (Lockout, Tagout, Work Permits, Risk Assessment, Checklists) in Dynaway Safe Work, assign one of the following permission sets:

Permission Set for DAMSW Manager

  • Managers can create, edit, approve, and delete data in all modules available in Dynaway Safe Work.

Permission Set for DAMSW Technician

  • Technicians can:
    • Read a Risk Assessment on a Work Order
    • Read a Work Permit on a Work Order
    • Fill out a Form for a Permit
    • Send a Permit for approval
    • Fill out a Checklist on a Work Order
    • Lock and unlock a Lockout
    • Mount and remove a Tagout

Safe Work Role Center

If you are set up as a Safe Work Manager in the Dynaway Safe Work app, you get access to the Safe Work Role Center. The Safe Work includes several modules:

  • Lockout
  • Tagout
  • Work Permits
  • Risk Assessment
  • Checklists
  • Safety Incidents

From the Safe Work Role Center, you have quick access to a variety of lists and templates related to Safe Work. The Actions section at the top of the screen provides shortcuts for creating new data, such as a new Risk Assessment, Lockout, or Tagout.

The tiles in the Safe Work and Approval sections inform you of the number of pending, active, or completed records that may require your attention. At the bottom of the work center, the Insights area provides a detailed overview of work assigned to you.

Tip: The Safe Work Role Center is designed to streamline your workflow and keep you informed about all safety-related activities and approvals.

Safe Work Setup

The Safe Work Setup page allows you to configure key settings for all Safe Work modules. Fields are grouped by functional area for clarity.

Risk Assessments

  • Risk Calculation Type: Select the method used to calculate risk in assessments (e.g., matrix, scoring).
  • Hazard Description Mode: Choose how hazard descriptions are managed (e.g., editable, fixed).
  • Precaution Description Mode: Choose how precaution descriptions are managed (e.g., editable, fixed).
  • Archive Risk Assessment on Release: If enabled, Risk Assessments are archived automatically when released.

Lockouts

  • Starting Time Lockout: Default starting time for lockout operations.
  • Ending Time Lockout: Default ending time for lockout operations.
  • Processing Order Checked: If enabled, lockout processing order is enforced.
  • Unlocking Order Reversed: If enabled, unlocking order is reversed compared to processing order.

Permits to Work

  • Permit to Work Approval Mandatory: If enabled, approval is required before a permit can be used.
  • Permit Default Days Valid: Default number of days a permit is valid.
  • Permit Default Expire when Used: If enabled, a permit expires immediately after use.

Safety Incidents

  • Days to Reopen Safety Incident: Number of days after closing an incident during which it can be reopened.

Numbering

  • Risk Assessment Nos.: Number series used for new Risk Assessment records.
  • Lockout Device Nos.: Number series for Lockout Devices (Lockout Points).
  • Lockout Nos.: Number series for Lockout records.
  • Lockout Template Nos.: Number series for Lockout Templates.
  • Tagout Nos.: Number series for Tagout records.
  • Permit to Work Nos.: Number series for Permit to Work records.
  • Permit to Work Template Nos.: Number series for Permit to Work Templates.
  • Safety Incident Nos.: Number series for Safety Incident records.

Use the Template on the Actions to automatically create Approval Workflow Templates.
