The Entrance Register in Dynaway Safe Work allows you to easily manage check-in and check-out of visitors, providing a clear overview of everyone entering and leaving your company premises. This feature helps ensure personal safety, supports compliance with internal security protocols, and maintains a reliable visitor log for safety and audit purposes.
Register Visitors
When visitors arrive at your company, you can log information about who is visiting, when, and for what purpose. The Entrance Log provides an overview of all visitor registrations. To access the Entrance Log, search for and select Entrance Log from your role center.
Visitor Check-in
Data Requirements:
- The user must have the permission set DAMSW ENTRIES in the user setup.
- Fields: Employee Code, Work Order No., Asset Location (editable), and Maximum Entrance Time should be visible.
How to Check In a Visitor:
- On your role center, search for and select Entrance Log.
- Select Register in the ribbon.
- Enter the visitor's Employee Code.
- Enter the Work Order No. if applicable.
- Enter the Asset Location.
- Specify the Maximum Entrance Time if required.
- Fill in any additional required information.
- Select Register Check-in to complete the process.
The visitor is now checked in, and their information is recorded in the Entrance Log.
Visitor Check-out
Data Requirements:
- The user must have the permission set DAMSW ENTRIES in the user setup.
- At least one check-in registration exists.
- Fields: Employee Code, Work Order No., and Asset Location Code (non-editable) should be visible.
How to Check Out a Visitor:
- On your role center, search for and select Entrance Log.
- Select Register in the ribbon.
- Select the Check-out button.
- The Check-out screen appears. Check-out Date and Check-out Time are automatically filled with the current date and time.
- In the Name field, select the visitor you are checking out and select OK.
- Other fields are automatically updated with data from the check-in registration.
- (Optional) If the visitor was handed an entry card during check-in, ask the visitor to return the card and activate the Entry Card Returned toggle button.
- Select Register Check-out to complete the process.
The visitor is now checked out, and the check-out data is added to the entrance registration line in the Entrance Log.
Register Multiple Check-outs
When multiple guests are leaving at the same time, the Entrance Log supports bulk check-outs by a company representative.
How to Register Multiple Check-outs:
- In the Entrance Log list, select the records for the visitors you want to check out.
- Select the Check Out button in the ribbon.
- Enter any required data for the selected records.
- Select Register check-out to update all selected records.
Bulk Check-out Limitations:
- If a selected record already has a check-out date, its date is not changed.
- If a selected record already has a check-out time, its time is not changed.
- If a selected record has a check-out date but no check-out time, and the entered check-out date is different from the already registered date, the check-out time is not registered.
