Working with Lockout and Tagout

Introduction

This section describes the setup tasks to be completed before you can use Lockouts in your maintenance department. Lockout is a safety procedure to ensure that maintenance work can be carried out in a safe way in a work area. The Lockout module in Dynaway Safe Work allows you to maintain tasks and workflows related to this kind of safety work.

When you purchase the Dynaway Safe Work app, the Lockout module is included in your license and fully integrates with EAM-BC.

Set up States for Lockout Points (Optional)

You can set up states to be used on your Lockout Points, if required. States help you track the availability and condition of Lockout Points. You update states manually on a Lockout Point.

Examples of Lockout Point States:

  • Available
  • In use
  • Out of order
  • Scrapped

How to Set Up a Lockout Point State:

  1. On your role center, search for "lockout".
  2. Select Lockout Point States in the list.
  3. Select New.
  4. Enter a Code for the state.
  5. Enter a Description for the state.
  6. (Optional) If a selected state should no longer be used, select the Blocked check box for that state.

Working with Lockout

Lockouts are records created to ensure a safe work environment. A Lockout contains a list of Lockout Points, which is the safety equipment required in a work area before it is safe to start work on a work order. Maintenance Managers create and manage Lockout Points and Lockouts. Technicians, assigned to a Lockout, lock and unlock the Lockout Points on the Lockout. You can set up Lockout Automation to trigger Lockouts when creating a Work Order.

Lockout Points

What is a Lockout Point?

A Lockout Point is a safety device you mount in a work area to ensure that maintenance work can be carried out in a safe way. Examples include:

  • Lockout hasp
  • Valve lockout
  • Circuit breaker lockout

You can create Lockout Points from the Asset card or Asset Tree. When you create a Lockout, you add the required Lockout Points. You can add assets, asset locations, pictures, and documents to a Lockout Point. Pictures and documents are shown in FactBoxes on the right of the Lockout Point card.

How to Create a Lockout Point

  1. On your role center, search for Lockout Points.
  2. Select New.
  3. Enter a name in the Description field.
  4. (Optional) In the Current State field, select a state if available.

You can also import, change, or take a picture for a Lockout Point using the Picture FactBox.

Location of the Lockout Point

On the Lockout Point card, you can set the Asset Location Code and GPS coordinates. These can be updated automatically or manually.

Default States for Lockout Points

You can define the state of the Lockout Point when locked or unlocked (e.g., Open/Closed, Unlocked/Locked). Set default states for locked and unlocked to automate state changes during lock/unlock actions.


Print Lockout Point Label

On the Lockout Point card, select Print Label to print a barcode or QR code label for the Lockout Point. The printout template and code type can be customized.


Lockouts

What is a Lockout?

A Lockout is a record that describes the safety measures required to ensure safe maintenance work. Examples include:

  • Cut off power
  • Secure gas valve
  • Lock down a work center

When you create a Lockout, you add the required Lockout Points. The Lockout status updates automatically as actions are taken.

Status Description
Draft The lockout is created.
Pending Lock The lockout is approved.
Pending Unlock All Lockout Points are marked "Locked".
Finished All Lockout Points are marked "Unlocked".

You can also create a Lockout from a Lockout Point or from a Lockout Template. Approved Lockouts can be copied for reuse.

How to Create a Lockout

  1. On your role center, search for Lockouts.
  2. Select New.
  3. Add required Lockout Points.
  4. Fill in other required details.

You can filter the Lockouts list by status or assigned user.


Lockout Templates

Create Lockout Templates to quickly generate Lockout records with predefined Lockout Points. Use the Create Lockout action from the template card, template list, or Lockout list.


Print Lockout Tag

On the Lockout card, select Print Tag to print a tag for each Lockout Point. The tag layout and code type can be customized.


Assign Checklists to Lockouts

You can assign checklists to Lockouts and Lockout Templates to ensure all procedural checks are completed before and after locking/unlocking. Add checklists for Before Locking, Before Unlocking, and After Unlocking.


Lockout Approval and Usage

  • Approve a Lockout by selecting Process > Approve on the Lockout card.
  • To revert to Draft, select Process > Change To Draft (only if no Lockout Points are locked).

Lock and Unlock Lockout Points

  • To lock, select the Locked checkbox for Lockout Points on the Lockout card.
  • To unlock, select the Unlocked checkbox after maintenance is complete.
  • Status updates automatically as Lockout Points are locked/unlocked.

Lockout Log and History

  • View the Event Log for a Lockout by selecting History > Show Log on the Lockout card.
  • View the locking history of a Lockout Point from its card or list.

Lockout Automation

Set up Lockout Automation to automatically trigger Lockouts when creating Work Orders based on criteria such as Work Order Category, Asset, Asset Category, or Asset Location. Use the Lockout Automation Setup page to define automation rules.


View Work Orders on Lockout Records

On a Lockout card, view related Work Order information in the Work Order tab. If a Lockout is assigned to a Work Order, you cannot post the Work Order until the Lockout is finished.

Working with Tagout

Introduction

Tagout is used to ensure that maintenance work can be carried out in a safe way. You can create Tagout records and add Assets, Work Orders, and Locations to a Tagout.

Create a Tagout

A Tagout is a safety measure to ensure that maintenance work can be carried out in a safe way on machinery and other types of equipment.

Tagout examples:

  • Place barriers around a work area to restrict access
  • Block access to high-energy sources
  • Block access to spaces containing hazardous material
  • Mount signs around a work area to restrict access

Safe Work Managers can work with Tagouts from the Safe Work Role Center. When you create a Tagout, you can attach Work Orders, Assets, and Asset Locations to it.

The Tagout status is automatically updated, depending on the actions taken on the Tagout:

Status Description / related action
Draft The Tagout is created.
Awaiting The Tagout is approved.
Active The Tagout is mounted in the work area.
Finished The Tagout is removed from the work area.

You can copy a Tagout to reuse it for another maintenance job. On the Tagouts list, open the Tagout card you want to copy, select Process > Copy, and confirm. Assigned To and Tagout lines are copied.

When you select a line in the Lines section on a Tagout, detailed information about the line is shown in the Tagout Details FactBox.

How to Create a Tagout

  1. On your role center, search for Tagouts.
  2. Select New to create a new Tagout.
  3. Add Asset, Work Order, and/or Asset Location lines as needed.
  4. (Optional) Change the order of lines if you create two or more.

Tagouts List

The Tagouts list shows an overview of all Tagouts and displays details for each record. To open the list, search for Tagouts on your role center and select Tagouts.

You can filter the Tagouts list by status or assigned user. The filter is located in the upper-left corner, next to Tagouts: in the ribbon. The default selection is "All".


Approve a Tagout

When a Tagout is created and the required lines have been added, you can approve it:

  1. Open a Tagout from the Tagouts list.
  2. On the Tagout card, select Process > Approve. The Status field is updated to "Awaiting".

To revert the Tagout to status "Draft" (only if no lines have been tagged out), select Process > Change To Draft.


Mount a Tagout

When a Tagout is approved and the start date for the related work approaches, physically mount the Tagout in the work area. Mark the lines on the Tagout as Tagged Out to indicate that maintenance work can start.

The user in the Assigned To field can mark lines as Tagged Out:

  1. Open the Tagout from the Tagouts list.
  2. On the Tagout card > Lines section, select the Tagged Out checkbox for each Asset / Work Order / Location.
  3. When you tag out the last line, confirm that status can be updated to "Active".

The Status field is updated to "Active", and the Tagged and Tagged By fields are updated in the Tagout Details FactBox.


Remove a Tagout

When maintenance work is completed, physically remove the Tagout(s) from the work area and update the Tagout:

  1. Open the Tagout from the Tagouts list.
  2. On the Tagout card > Lines section, select the Tagout Removed checkbox on each line.
  3. When you remove tagout on the last line, confirm that status can be updated to "Finished".

The Status field is updated to "Finished", and the Tagout Removed and Tagout Removed By fields are updated in the Tagout Details FactBox. The Tagout is completed.


Pending Tagouts List

The Pending Tagouts list gives you an overview of open Tagout lines for planning. To open the list, search for Pending Tagouts on your role center and select Pending Tagouts. The list contains Tagouts with status "Awaiting" or "Active".


Event Log

The Event Log gives you an overview of all registrations made on a Tagout. Open a Tagout from the Tagouts list, then select History > Show Log. The Event Log contains all registrations and updates made on the Tagout. You can also search for Safe Work Event Log to see all registrations across modules in Dynaway Safe Work.

Lockout Tagout Power App

Virtual Table Setup

To enable integration and data access for the Dynaway Lockout Tagout Power App, the following virtual tables are available. These tables allow the app to interact with lockout and work order data in Business Central via the specified API routes.

Ensure these virtual tables are set up and accessible for the Power App to function correctly with your Dynaway Safe Work and EAM-BC environment.

Create a New Lockout/Tagout

Dynaway Lockout Tagout allows you to manage existing lockouts and quickly create new ones as needed.

How to Create a New Lockout/Tagout:

  1. On the Home screen, select New Lockout/Tagout.
  2. A new screen opens where you provide the required information:

    • Select a Lockout Point by scanning the barcode/QR code or by choosing from the dropdown list.
    • (Optional) Select a Work Order to connect to the lockout.
    • Specify the Planned End Date by selecting the date and time.
    • (Optional) Add Remarks.
  3. Select Lock to create and lock the lockout. The lockout will move to locked status.

  4. After locking, a confirmation screen appears. From here, you can:
  5. Print Tag for the lockout (if a printer is set up in Business Central).
  6. Create new lockout/tagout to start another lockout.
  7. Go back to the Home screen by selecting the Back arrow.

Lockouts Assigned to Me

You can manage lockouts that are already created and assigned to you.

How to Manage Assigned Lockouts:

  1. On the Home screen, select Assigned to Me.
  2. A list of lockouts approved and assigned to you appears, sorted by the closest Planned End Date.

    • You can change the view to see only lockouts that need to be locked or unlocked.
    • Use the Refresh button to update the list with any changes made by other employees.
  3. Select a lockout from the list to perform locking or unlocking.

  4. The lockout details screen shows:

    • Work Order No.
    • Planned Start Date
    • Planned End Date
    • Remarks
    • List of Lockout Points included in the lockout
    • Print Tag option (printer icon)
  5. Select the lockout points to be locked or unlocked. You can only lock or unlock the lockout when all lockout points are selected.

  6. Select the Lock button to lock the lockout.
  7. After locking, a confirmation screen appears. From here, you can:

    • Print Tag for the lockout
    • Go back to the list of approved lockouts (Back arrow)
    • Return to the Home screen (Home button)

With the Dynaway Lockout Tagout PowerApp, you can efficiently manage lockouts and tagouts from your mobile device, ensuring safety and compliance in your maintenance operations.
