Register and report incidents that occur at your company and track the progress of incidents reported to a health insurance company. Registering an incident can be done by employees, and the progress of incidents can be tracked and closed when finished. You can add documents, photos, and information about an incident such as affected employee, location, and time and date of the incident. You can also track any legal actions that have been taken, and view costs related to incidents.
Safe Work Managers create and manage Safety Incidents. Safe Work Technicians can modify Safety Incidents.
Create a Safety Incident
A Safety Incident is a record that contains information about an incident that occurred at the company. Examples include:
- Robot hitting an employee
- Employee slipping on a wet floor
- Unsecured goods falling from a shelf
You can create a safety incident record from the Safety Incidents list:
- On your role center, search for safety incidents and select Safety Incidents.
- On the Safety Incident list, select New.
- On the Safety Incident Card, enter a No. or let it be filled automatically.
- Enter a Description and Detailed Description of the incident.
- Select a Person Affected (optional).
- Enter Incident Date-Time and Reporting Date-Time.
- Select an Incident Type, Body Part Affected, and Severity Level Code.
- Enter a Root Cause of Incident and add contributing causes in the Incident Causes tab.
- Select an Incident Location Code or enter the Incident Location Name.
- Select a Person Reporting and a Person Providing First Aid (if applicable).
- Select an Outcome Code.
- Enter Expected Days Away from Work and Actual Days Away from Work.
Add a Treatment
You can add Treatments to existing Safety Incidents to track procedures the employee underwent after the incident:
- Go to the Treatment FastTab on the Safety Incident card.
- Select the Code field and choose a Treatment Type. Description and info about Emergency Room Visit/Overnight Stay will fill automatically.
- Enter the Date of the treatment and any additional details (comments, facility, etc.).
Add a Corrective Action
After an incident, add corrective actions to prevent recurrence:
- Go to the Corrective Actions FastTab.
- Select the Code field and choose a Corrective Action (or enter a description manually).
- Select a Person Responsible.
- Enter Planned Date and Actual Date.
- Select a Status (Open, In Progress, Finished, Approved).
- Add Comments as needed.
Add a Cost
Track costs related to an incident:
- Go to the Costs FastTab.
- Select the Code field and choose a cost (or enter a description manually).
- Select the Date and enter the Cost amount.
- The Total Cost of the Incident is shown on the Incident FastTab.
Add a Reporting Agency
Report incidents to agencies as required:
- Go to the Reporting Agencies FastTab.
- Select the Code of the reporting agency.
- Enter the Submission Date and Case Number.
- Check Incident Reported when reported.
- Add Comments if needed.
Change Status of a Safety Incident
Change the status as the incident progresses:
- On the Safety Incident card, select Change Status in the ribbon.
- Select a Status from the list or create a new one.
- If you select a Closing Status, the Safety Incident will be closed and become read-only. By default, you have 2 days to reopen it (configurable in Safe Work Setup).
Additional Information
The Additional Information FastTab shows who created and closed the Safety Incident and when. This data is filled automatically.
If a Safety Incident is reopened, closing data is cleared and will be filled again when finally closed.
Upload and Manage Documents
You can upload, view, download, and delete documents related to a Safety Incident:
- On the Safety Incident card, search for upload document or use the FactBox pane to upload.
- To manage documents, use the FactBox or search for show documents to view, download, or delete documents.
Add and Manage Pictures
You can add pictures by taking them directly or uploading from your device:
- Search for take picture on the Safety Incident card to take and upload a photo.
- Use the FactBox pane to upload pictures from your device.
- To manage pictures, use the FactBox or search for show pictures to view, download, or delete pictures.
