Tool Crib Setup

Introduction

The Tool Crib module in Dynaway EAM for Business Central enables you to track and manage tools used in your company for maintenance jobs. With this module, you can register the handout and return of tools, monitor tool usage, and maintain a complete overview of tool assignments. Tools are managed as assets, allowing you to leverage asset management features such as tool boxes, condition tracking, and maintenance cost analysis.

This manual provides step-by-step guidance for setting up the Tool Crib module and configuring its core functionalities.

Tool Crib Setup

Users and Permission Sets

In Business Central, users are assigned permission sets that define their access to data and allowed actions (read, edit, delete). To work with the Tool Crib module:

  • Assign the DAMTL Tool Handouts permission set to users who need to create tool handouts and returns.
  • Tool creation is managed as part of the maintenance manager permission set, since tools are assets in the system.
  • The DAMTL Tool Handouts permission only allows registering handouts and returns, not tool creation.

Set Up Number Series

Number series are required for Tool Handout/Return and related registered documents. To set up number series:

  1. Go to Asset Management Setup (or use Settings > Assisted setup > Get started with Dynaway Tool Crib).
  2. In the Numbering tab, set up:

    • Tool Handout Nos.
    • Tool Return Nos.
    • Registered Tool Handout Nos.
    • Registered Tool Return Nos.
  3. Use the Default No. Series button on the toolbar to automatically set up number series prepared by Dynaway for Tool Crib.


Categories

Tools are managed as assets in the system, so they use the same data structure. However, some data (such as Asset Location) is shared, while other data (such as maximum handout time) is specific to tools.

To set up Asset Categories for tools:

  1. Go to the relevant Asset Category Card.
  2. Set the Asset Type to Tool.
  3. The Max. Handout Time (days) field becomes editable. Enter the maximum number of days tools in this category can be handed out.
  4. This value is automatically applied to tools when the category is chosen, but it can be changed on the Tool Card if needed.
