Request Lists

Create and manage lists for requests with similar characteristics

Introduction

The Request lists page provides predefined and user-created lists that help you access and manage requests. The lists page is only visible if you or your user role has permission to view it.

The page includes three possible sections:

  • Pinned lists: Lists that are pinned by the user.
  • Default lists: Predefined lists that help you quickly access commonly used work orders.
  • Created lists: Visible only if custom lists are available.

Prerequisites

Ensure that the setup for the Requests module is completed on the Mobile Client.

Settings

The landing page of the Requests module is the Request lists page, and the enabled default lists. Based on the user or user role, you can enable/disable the default lists Downloaded, Previously viewed, and Favorites. Note that this is a common setting for lists across the Assets, Work orders and Requests modules.

To do this:

  1. Go to Dynaway mobile > Setup > Module configuration > General > Lists > Downloaded, and enable/disable the list for the user or user role.
  2. Go to Dynaway mobile > Setup > Module configuration > General > Lists > Favorites list, and enable/disable the list for the user or user role.
  3. Go to Dynaway mobile > Setup > Module configuration > General > Lists > Previously viewed list, and enable/disable the list for the user or user role.

Overview

When you log in to the Requests module of the Work execution app, the landing page displays the Request lists page. Here the user can switch between a table and grid view for the saved search lists page by clicking the button at the top right of the lists (see screenshot 01).

  • Note:
    • This setting only applies to non-mobile screens (wider than 767px), where there is more horizontal space.
    • On mobile, the lists will always be displayed in the table view (as in screenshot 02).
    • This setting is saved to D365 for each of the pages containing saved search lists per user. This way the view will look the same regardless of which device they log in on.

The landing page has three categories of lists: Pinned lists, Created lists, and Default lists. (see screenshot 02).

Pinned Lists

Pinned lists are lists that are pinned by the user for quick access. For more details check the section on Pin Saved Search Lists.

Created Lists

This section displays the lists that are:

  1. Customized and created by you using the necessary search filters.
  2. Lists created by another user (usually a maintenance manager or supervisor), and shared with you in D365.

The List View Page

Default Lists

There are three default lists that are automatically created and displayed on the Request lists page: Favorites, Previously viewed, and Downloaded. Note that these lists are only visible when you have the required permission to create/manage requests.

  • Favorites: The Favorites list displays the requests that you have marked as favorites.
    • A maximum of 50 favorite requests are saved in this list.
    • The list is sorted by last visited.
    • Filtering, sorting, and reports are disabled for this type of list.
    • You can clear the items in the Favorites list by clicking on the list and navigating to the context menu (three dots in the top right corner of the page) on the listing page, and then selecting Clear (see screenshot 03).
  • Previously viewed: The Previously viewed list displays the requests that were last viewed or opened by you.
    • Note:
      • A maximum of 50 last visited requests are saved in this list.
      • The list is sorted by last viewed.
      • Filtering, sorting, and reports are disabled for this type of list.
      • You can clear the items in the Previously viewed list by clicking on the list and navigating to the context menu (three dots in the top right corner of the page) on the listing page, and then selecting Clear (see screenshot 04).
  • Downloaded: This list shows all the requests that are available to you online and offline.

Requests Listing Page

  1. Log in to the Work execution app and navigate to the Requests module using your assigned credentials.
  2. On the Requests landing page, you can see a set of created lists (if any are created) and default lists.
  3. You can view the requests within a list by clicking on the corresponding list.
  4. You will be directed to the requests listing page, which displays all requests that belong to the selected list in either table view or card view (see screenshots 01 and 02).
    • On small screens (mobile)
      • By default, on small screens, the requests listing view is the card view.
        • To toggle the listing view between card and table, go to the Requests listing page and use the card and list icons at the top of the page.
        • When you select table view, you can choose the sort order of the displayed requests. To do this, first switch to table view using the toggle option.
        • By default, requests are sorted by Request ID.
        • Note that whatever view you have selected (table or card), this setting is remembered on the current device/pc and will be displayed on your next use.
      • To sort the request list based on a parameter, from the table view of the request listing, click on the parameter next to the toggle buttons. To change it, click on the available parameter (see screenshot 03).
      • You will see a list of other parameters (Request ID, Functional location, Asset ID, Request type, Created date and Service level) that you can use to select the sort order (ascending/descending) of the request listing. Select the desired parameter and order.
    • On large screens (PC)
      • By default, on large screens, the request listing view is the table view.
        • To toggle the listing view between card and table, go to the Requests listing page and use the card and list icons at the top of the page.
      • In table view, you can choose the sort order of the requests displayed.
        • On large screens, there are two ways to do this:
          • Click on the sorting parameter (see screenshot 04) next to the toggle buttons. You can change the order based on the desired parameter (Request ID, Functional location, Asset ID, Request type, Created date and Service level).
          • Alternatively, click on the parameter in the table header to sort the data based on that parameter and set the order (ascending/descending).
          • Select the desired order to view the listing in your preferred sort order.
      • You can view all the relevant details on the request listing page. From this page, you can navigate to the Request details page by clicking on the relevant request line.

Create Request List

On the Request lists screen, you see all created and default lists. This list contains the requests that are available to you online and offline.

  1. On the Request lists screen, select the context menu (three dots at the right tope of the screen) and Create list (see screenshot 01).
  2. On the Create list screen (see screenshot 02), you see a list of parameters that you can use to define your list. Make one or more selections in the list.
  3. Select the details for your list, and select Apply.
    • Note:
      • If you see an All/Clear toggle button in the upper-right corner of the screen, you can select All, if you want to select all options shown on the screen. Select Clear if you want to remove the selections.
  4. If required, repeat steps 2-3 to add more details to your list.
  5. When you've made your selections, enter a name for the list in the List name field, and select Save changes.
  6. When you return to the Request lists screen, you can see that the list has been added.

Editing or Updating a Requests List

  1. Login to the Work execution app and navigate to the Requests module.
  2. On the Request lists (see screenshot 01), select the list which you would like to edit.
  3. You will be directed to the listing page with a complete list of requests created that are a part of the selected list. Go to the Context menu (three dots in the top right corner) and select Edit list (see screenshot 02).
    • Note:
      • You cannot edit predefined lists.
      • If you do not have the required permission to edit the request list then, in the context menu you will be able to see the View list option instead of the Edit list option. On click of View list, the application will display the same page as the Edit view page but with the editing options disabled .
  4. On the Edit list page (see screenshot 03), make your changes and save the list to update the list.

Deleting a Requests List

A request list can be updated or deleted only if the related settings in Dynaway mobile > Setup > Module configuration > General > Manage saved search lists is enabled and the list has not been setup from F&O, i.e. it is a system one. In other words, you cannot delete predefined lists.

To delete an existing list:

  1. Log in to the Work execution app, navigate to the Requests module, and from the Requests lists page select the list to delete.
  2. You will be directed to the listing page with a complete list of requests created that are a part of the selected list. Go to the Context menu (three dots in the top right corner) and select Delete list (see screenshot 01).
    • If you do not have the required permissions in the module configurations to manage saved search lists, then you will not have the option to delete a list. Instead, there will be a View list option.
  3. The application will display a warning dialog for the user to confirm the deletion of the selected list (see screenshot 02). Select Yes to proceed with the deletion.
  4. The selected list will be deleted.

Pin Saved Search Lists

The pinning saved search feature allows you to mark your frequently used saved search lists so they appear in a separate section at the top of the saved searches page. This helps you quickly access important lists without scrolling.

To pin a saved search:

  1. On the saved search lists page (In this case Request lists page), from the context menu (three dots in the upper right corner), select Manage pinned lists (see screenshot 01).
  2. On the Manage pinned lists page (see screenshot 02), select the lists you want to pin by clicking on the list name or the pin button next to the list (see screenshot 02).
  3. Once you have selected the lists, click on the Save button at the bottom of the page.
  4. You will be directed back to the saved search lists page where a separate section at the top of the page called Pinned lists will be displayed (see screenshot 03). The listing in this will be sorted alphabetically. Note that the pinned lists selection will be saved in D365 and will remain the same across devices when you log in.

Inline Filtering

Inline filtering allows you to temporarily modify the filters applied to a list without editing or saving the list. Changes are applied immediately and remain available until you leave the page or save them.

Setup

To use inline filtering:

  • Enable Search for the user or user group in Dynaway mobile > Setup > Module configuration > Work execution > Search.
  • To save changes made using inline filtering, enable Manage saved search lists for the user or user group in Dynaway mobile > Setup > Module configuration > General > Lists > Manage saved search lists.

Use Inline Filtering

To modify the filters applied to a saved search list:

  1. Open the saved search list.
  2. On the search list page, click the expand arrow in the upper-right corner of the list (see screenshot 01). The filters configured for the saved search list are displayed as filter chips (see screenshot 02).
  3. Click the filter chip you want to modify.
  4. You will be directed to the filter page of the selected field. Select the required filter values (see screenshot 03) and click Apply.
  5. You are returned to the search list page with the updated results based on selected filters. Modify additional filters, if required.
  6. After viewing the results, to restore the original filters configured for the saved search list, click Reset filters (see screenshot 04).
    • Note that the Reset filters and Save changes buttons are enabled only after changes have been made.
  7. If you leave the page without saving, the inline filter changes are discarded.
  8. To save the updated filters to the saved search list, click Save changes (see screenshot 04).
    • Note that the Save changes button is available only if the saved search list can be modified and you have permission to manage saved search lists.

Search for Requests

As an user of the work execution app, you can search for maintenance requests. Note that while searching for entities using a saved search or global search in the mobile app, the fields being searched are predefined and cannot be changed by the customer. These searches use "like" matching, meaning the search term must appear as a substring within a field for a match to be found. For example, searching for "rot" will return results like brother, rotting, and carrot.

On the Request lists screen and on each list screen (predefined and user-defined lists), you can search for requests. Search parameters include:

  • Request ID
  • Asset/Object ID
  • Request type
  • Functional location ID
  • Description

Note:

When you make a search on the Requests lists screen, you search in all requests. If you make a search in a list, you only search the contents of that list.

  1. On the Request lists screen, or in a list, select the search icon. Enter a search string in the search field, or search by scanning a QR code or barcode. View further documentation here.
  2. Search by scanning a QR code or barcode:
    1. Select the Scan a code button.
    2. Follow the instructions on the screen to scan a QR code.
  3. Search by entering a search string in the search field:
    • Your search string may contain the entire ID or name, the middle of an ID or name, or part of the ID or name.
    • Search works both in online and offline mode - Offline mode means searching the data available on your mobile device at the time of the search.
      • Example 1: If you enter 8* in the search field, the result is a list of all search results that start with the number 8.
    • Example 2: If you enter *3* in the search field, the result is a list of all search results that contain the number 3.
  4. The search results will be displayed and the user can click on the result to go to the selected request. Note that if you select a search result to go to a request, the search string is reset.
  5. To cancel a search, select the Cancel or Return button. The search string is deleted when you return to the Request lists screen.

Limit Results from Lists to Functional Location

It is possible to limit results shown on lists to functional locations that are assigned to maintenance workers.

Go to Setup > Mobile Parameters and toggle the button 'Query functional location limitation' to limit results shown on lists to functional location.

To assign workers to functional locations, go to:

  1. Asset Management > Setup > Workers > Workers.
  2. Pick a worker from the list on the left.
  3. On the Functional locations tab, add a line to assign a functional location.

If the assigned functional location has children, these are also assigned.
