Create work orders directly from the Project management and accounting module in D365FO

Introduction

Standard Asset management integrates with the Project management and accounting module in D365FO. Project integration is used to track costs on work orders.

We have made an improvement, making it possible to create an Asset management work order directly from a project in the Project management and accounting module in D365FO. This means you can skip the additional setup for a work order parent project.

Prerequisites

You have completed setup of Assets and Work Orders in Asset management.

Overview

When you create work orders or add work order jobs in Asset management, new sub-projects are created. The parent project is set up in work order parent projects (Asset management > Setup > Work orders > Project setup). Refer to Microsoft documentation to learn more about the standard setup for project integration: Project setup for forecasts and work order jobs.

If there are special cases where a different parent project should be used instead of the standard setup, you must create additional setup for a work order parent project.

It's possible to create work orders directly from projects in the Project management and accounting module. In that case, the standard setup for work order parent projects is overruled and a work order is created based on the parent project which you have selected in the projects page.

Setup

When a work order is created from a project, the project is used as a parent project for all work order jobs on the work order. This functionality requires a setup in Asset management parameters.

  1. Select Asset management > Setup > Asset management parameters.
  2. Select the Work orders link.
  3. In the General section, select the Create work orders from projects toggle button to show "Yes".

Create Project Work Order

The Create work order from project functionality allows you to create work orders directly from a project without configuring a parent project in advance. The selected project will automatically become the parent project for all jobs within the work order.

This feature is an alternative to the standard work order parent project setup. It does not replace the standard approach.

This functionality is ideal when:

  • You need to track a small number of work orders for a project.
  • You prefer not to use the standard work order parent projects setup.

The Create work order button will be available only if:

  • The Create work orders from project option is enabled in Asset management parameters.
  • The user has been assigned the appropriate security privilege/duty for creating work orders from projects.

To create a work order from from a project

  1. Go to Project management and accounting > Projects > All projects or My projects.
  2. In the All projects or My projects page, from the top menu, navigate to the Project tab, and go to Asset management > Create work order (see screenshot 01).
  3. In the Create work order dialog (see screenshot 02), enter the details for the work order. (Refer to Microsoft documentation regarding how to create the work order). Note that if the project is linked to a customer, the customer will automatically populate in the work order. This applies only if customers are enabled for work orders.

Note:

  • You can control which project groups are allowed to create work orders from a project in the Project management and accounting module. View details in the section below on Project group restrictions.
  • If you create several work order jobs on a work order created from a project, all jobs will relate to the same parent project as the work order.

Project Group Restrictions

You can control which project groups are allowed to create work orders from a project in the Project management and accounting module.

To configure this:

  1. Go to Asset management > Setup > Asset management parameters.
  2. From the left menu, navigate to Project work orders and go to Project groups.
  3. In the Project groups tab (see screenshot 01), specify one or more project groups. Only the selected groups will be allowed to create work orders from projects. If no project groups are specified in this setup, all project groups can be used to create work orders from projects.
    • For example: If only the project group Internal is listed, only projects linked to that group can be used to create work orders.
