Introduction

Integration with Projects allows you to work with projects within your organization as well as externally. Projects can be used together with Work Order Plans for larger projects to plan and track the costs of Resources, Items, and Expenses used in relation to the Project.

Overview

Projects is a standard Microsoft Dynamics 365 Business Central functionality. Project data on the Work Order Plan and Work Order functions the same way as Purchase Orders in standard Microsoft Dynamics 365 Business Central. Read more about projects in Business Central.

Dynaway EAM for Business Central integrates Projects with Work Order Plans and Work Orders, as well as Resources, Items, and Expenses connected with Work Orders.

When using Projects with Work Order Plans, you will have an overview of how the project is progressing on the Project Card, as you are able to create multiple phases (Project Tasks) within the Project and see their progress and track the costs of each Project Task. With this approach, you can plan Work Order Plans in relation to the Project such as Project No. and Project Task No. Whenever you post Work Orders related to the Project, you can see the costs from the Project Task No. on the Project Card. This functionality lets you track the progress of a Project and gives you an overview of costs used and any billable prices.

Another way to work with Projects is to omit part of the planning that is related to specifying Resources and Items on a Work Order, and add them after the Work Order has been carried out to see the total costs. This approach is useful if you know you will use unforeseeable values when carrying out a Work Order.

Working with Projects on a Work Order Plan

Set up a Project from a Work Order Plan

  1. Go to the Work Order Plan you want to create a Project from.
  2. Go to Settings > Personalize and drag 'Project No.' to the Additional Parameters tab.
  3. Open Project No. from the drop-down and choose a Project or create a Project by clicking 'New'.
  4. Go to Settings > Personalize and drag 'Project No.', 'Project Task No.', 'Project Line Type', and 'Project Planning Line No.' to the Items and Resources tabs.
  5. In the Resources and Items tabs, fill in the Resources and Items and fill out the 'Project' related fields.
  6. Release and calculate the Work Order Plan to finish.

Note:

  • If you edit or delete Project No. on a Work Order Plan or Work Order, you must update any Resources and Items manually.
  • If you are using Expenses on the Work Order Plan, you can do the same thing for expense lines.

Add Project Planning Lines to a Project Task No.

On the Project Card, you can add Project Planning Lines to the Project Tasks you have defined.
From the Project Card, go to the search button and type Project Planning Lines. From there, you can view and create Project Planning Lines to your Project Tasks. Click 'New' to add a line for a Project Task. Refer to screenshot 01 below.

Add Unplanned Values to a Work Order
If you use other Items, Resources, and Expenses during the execution of the Work Order that were not planned in the Work Order Plan, you can add them to the relevant tabs of the Work Order.

On the Work Order from the Work Order Plan, you can view the Project related fields in the Resources, Items, and Expenses tabs.

  1. Go to Settings > Personalize.
  2. Click on a line within e.g. Resources, and drag the Project related fields to this tab.
  3. After posting and closing the Work Order, any added Resources, Items, or Expenses will show up on the Project Planning Lines referencing the Work Order no.

View Costs and Information about Related Work Orders
On the Project Card, you can see the costs of different Project Task No. (refer to screenshot 02 below). From a cost in the table, you can open the Project Planning Lines and view any Resources, Items, and Expenses that were used. In case you have added something to a Work Order, that was not planned from the beginning, you can view it from the 'Document No.' field where the Work Order No. is shown.

Project Card

From the Project Card, you can view details about any related Work Order Plans, Work Orders, and consumption on Work Orders that are related to maintenance.

To do so, go to the search button and type in:

  • Plans - view related Work Order Plans.
  • Plans Lines - view Work Order Plan Lines.
  • Work Orders - view related Work Orders.
  • Posted Work Orders - view related Posted Work Orders.
  • Work Order Ledger Entries - view related Work Orders in Ledger Entries.
  • Consumption on Work Orders - create a report about the consumption on Work Orders.
  • Project Ledger Entries - view information about the Ledger Entries of this record.

Automatically Assign Work Order Lines to a Project

You can use Maintenance Allocations for Projects to assign work order lines to projects automatically. This means that when you create a line on a Work Order (automatically from a plan or manually on card) the line automatically has a connection to the Project and Project Task and Project Line Type.

You can customize the setup to fit your needs. For example, you can choose a generic setup that only consists of a Work Order Category Code for instance, or you can choose a setup for a specific asset that includes a start and end date. See the screenshot below for an example.

Create a Maintenance Allocations for Projects setup

You can specify the setup by searching for and selecting Maintenance Allocations for Projects. You can create as many combinations as you need.

In the page that opens you can specify the setup using the following criteria:

  • Work Order Plan (can be empty)
  • Asset No.
  • Work Order Category Code
  • Asset Location
  • Asset Category
  • Start Date
  • End Date
  • Work Order Line Type (Item, Resource, Expense)
  • Work Order Line No. (Item, Resource, Expense No.)
  • Project No.
  • ProjectTask No.
  • ProjectLine Type to which the line is assigned
