Work with Downtime on Work Orders and Work Order Plans

Introduction

Downtime registrations can be used to create Work Orders and registrations can be attached to a Work Order Plan. You can also create downtime directly on the Work Order.

Prerequisites

Downtime registrations have been created.

Create a Work Order from a Downtime Registration

You can create a Work Order from a Downtime Registration.

On your Role Center, select Assets Tree (opens Assets Tree) or Assets (opens Asset List).

  1. Select the Asset you created a Downtime Registration for.
  2. Select Process > Downtime Entries.
  3. Select the Entry No. of the Downtime registration you want to work with.
  4. On the Downtime Entry Card, select Create Work Order.
  5. You will create a one-off Work Order. Refer to the Create a Follow-up Work Order article for a description of how to create the Work Order.
  6. On the Work Order, select the Show more link to see all fields. Notice that the Downtime Registration code is shown in the Downtime Entry No. field.

You can delete a reference to a Downtime Registration on a Work Order if, for example, it turns out that a shutdown is not required on the Asset to work on the maintenance job. When the Work Order is in edit mode, delete the reference in the Downtime Entry No. field if the Downtime Registration is not required. On the Downtime Entry Card > Related Work section, the line showing the Work Order will then update the Status field to "Plan Cancelled".

Attach a Downtime Registration to a Work Order Plan

You can attach a Downtime Registration to a released Work Order Plan.

  1. On the Downtime Entry Card, select Attach to Work Order Plan.
  2. The pop-up window is almost the same as when you create a Work Order from a Downtime registration, but the Work Order Plan No. field is added. Select a Work Order Plan in the Work Order Plan No. field.
  3. The Instructions, Category Code, and Priority Code fields are automatically updated.
  4. If required, you can change the Work Order Date.
  5. Select Yes to save and create a new Work Order related to the selected Work Order Plan.
    1. If an open Work Order already exists on the Work Order Plan, you are asked if you want to attach the Downtime registration to the existing Work Order. If you select No, you're asked if you want to add a new one-off frequency line to the Work Order Plan.

Create Downtime Automatically from a Work Order Plan

On the Work Order Plan, it is possible to schedule a downtime entry to happen automatically when the new Work Order is created for the plan.

Setting a Work Order Plan to create downtime will automatically create the downtime when the Work Order is created for the Work Order Plan. This means that the Asset, which the downtime is created for, will automatically be unavailable to operate in the specified period for the downtime.

Create Downtime from a Work Order Plan

  1. On the Work Order Plan, go to the 'Additional Parameters' tab.
  2. Turn on the function Create Downtime on the toggle button.
  3. Specify Category Code, Starting Time, and Ending Time.
    1. If necessary, you can also specify a default starting and ending time for the asset in Asset Management Setup.

Note: The date and time for the downtime is created for the same day as the Work Order. This means that the date of the downtime is taken from the Original planned date from the Work Order Plan.

Downtime Simulations

On a Work Order Plan, you can define that downtime will be created automatically every time a work order is created from this plan. This work order will be linked with a created downtime.

Each work order might have its own simulations (predicted occurrence of the work orders based on this plan in the future). If you set up that downtime is created automatically from the plan, this downtime will also have its own simulations in the future.

Visiting the Simulated Downtime Entries list you can check details about incoming downtime:

  • Starting Date-Time
  • Ending Date-Time
  • Asset No.
  • Plan No.
  • Category Code
  • Whether production is on hold
  • Duration
  • Connected to Type/No. - if the asset is connected to Work Center or Machine Center

From the Simulated Downtime Entries list, you can also open the Work Order Plan (as the source of the simulated downtime) and the Asset Card.
